The candidate hired for this role will provide high level support to the Michigan Medicine Regional Gift Team & Alumni Relations Team at the University of Michigan Medical School. The Development Assistant will work as a contributing member in a fast paced, service-oriented environment. This role will work independently and proactively to relieve professional staff of administrative tasks and support activities centric to donor relations, prospect cultivation, students, Medical School Leadership and stewardship. The Development Assistant will manage projects, prepare gift agreements and correspondence with a high level of accuracy. This role also requires managing data for several projects and activities as well as events that require reporting, tracking and accessing information from donor databases. Day to day responsibilities include coordinating internal meetings, donor and prospect meetings, and activities with students. This includes tasks related to scheduling, location coordination, refreshments, staffing, purchases, hosting reports, expense reports and assisting with assignments related to development volunteer activities. The role requires frequent communication with donors and prospects as well as volunteers, students, faculty and administrators. The Development Assistant will participate in team events including medical school reunion weekend.

This position is hybrid, working two days a week in the Michigan Medicine Development office in Ann Arbor. Modification of weekly in-person work schedule is sometimes required based on workflow.

Responsibilities*

Administrative Support (70%)
  • Manage and coordinate multiple calendars and schedule complex meetings.
  • Represent development in handling inquiries of a highly sensitive and confidential nature.
  • Assist with planning and execution of donor visits, events, and committee meetings including preparation of invitation lists, coordinating details with event planning staff, and making guest arrangements for events and activities.
  • Coordinate travel, hosting, and event related activities including planning trips and itineraries, coordinating travel arrangements, locations, refreshments, and staffing.
  • Track and reconcile team budgetary expenses and assist with budget preparation and P-Card expense report in Chrome River.

Donor and Prospect Coordination (30%)
  • Assist gift officers to systematically identify donors and prospects with capacity.
  • Analyze prospect data and prepare reports.
  • Assist with preparing legal documents and correspondence related to donor and prospect activities.
  • Provide meeting preparation, note taking, and follow up with high level prospects, donors, campaign volunteers, Michigan Medicine Alumni Society Board, and third-party events.
  • Coordinate details and written preparation of briefing materials for events involving major gift prospects, donors, and Michigan Medicine leadership.
  • Assist in the coordination and execution of medical student facing activities.
    Other duties as assigned.

Required Qualifications*
  • More than four years of progressively responsible administrative support experience (Senior level).
  • More than two years of experience (Intermediate level).
  • Advanced experience with Microsoft Office Suite and Google Drive (Word, PowerPoint, Excel, Visio, etc.).
  • Experience with generating reports from a variety of databases.
  • Excellent verbal, written and organizational skills with demonstrated attention to detail.
  • Proven ability to use discretion and maintain a high level of confidentiality.
  • Ability to work flexible hours with occasional weekend and evening work as necessary
  • Candidate must have access to reliable internet.
  • Ability to lift 10 pounds.

Desired Qualifications*
  • Bachelor's Degree or equivalent combination of education and experience.
  • Previous experience with fundraising projects with non-profits.
  • Familiarity with University of Michigan and the Michigan Medicine organizational structures.
  • Experience with Zoom or other virtual meeting platforms.

Work Locations

The onsite location for this position is an office suite at the 777 Building. This provides free, on-site parking for staff.

This position is hybrid, working two days a week in the Michigan Medicine Development office in Ann Arbor. Modification of weekly in-person work schedule is sometimes required based on workflow. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.

Background Screening
