The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Office of Student Diversity, Inclusion, and Belonging (OSDIB) at Columbia Vagelos College of Physicians and Surgeons (VP&S) is committed to nurturing the diversity of our institution by actively recruiting, enrolling, and graduating a diverse population of students. The OSDIB Educational Support Specialist I, plays a fundamental role in supporting diversity and inclusion initiatives. Reporting to the Director, OSDIB Office and Programs, the Education Support Specialist I provides coordination of general office operations with a primary focus on financial process tracking for grant programs, and other technical and program related matters. To appropriately meet the needs of this role, the preferred candidate will have experience managing a broad range of administrative tasks and projects; the ability to provide proactive and responsive support to OSDIB staff and students; and the capacity to be a central resource for the coordination of directives provided by OSDIB's Director.

The OSDIB Education Support Specialist I responsibilities will include, but may not be limited to, the tasks outlined below. Some evening and weekend work will be required.

Responsibilities

Essential Duties:

Finance Process Tracking
  • Financial System Review and Management: Ensure accuracy in grant setup, budgets, and project periods; monitor and maintain grant portfolios, manage project expenses, clear suspense and grant overruns.
  • Compliance and Transaction Processing: Review invoices, expense reports, and other financial documents to ensure compliance with CU and sponsor policies before processing transactions.
  • Collaborative Grant Oversight: Meet bi-weekly with departmental director and PIs to review grant portfolios, funding types, and annual effort reporting; serve as liaison with Sponsored Projects Administration and Finance.
  • Regulatory Knowledge and Proposal Management: Maintain knowledge of federal rules governing research grants; manage timelines for on-time, high-quality proposal submissions; assist with year-end reconciliations and project closeouts.

Education Support
  • Administrative Support: Provide comprehensive assistance, manage communication channels, and maintain records for all CUIMC pathway programs routed through OSDIB.
  • Event Coordination: Schedule, secure venues and resources, send invitations, track RSVPs, and manage attendee lists for OSDIB events.
  • Event Organization: Oversee event support, recruit/manage volunteers, develop schedules, assign tasks, and provide on-site assistance for outreach and engagement events.
  • Logistics Management: Arrange and track purchases and supplies for office events and outreach efforts.
  • Other duties as assigned

Minimum Qualifications
  • This position requires a bachelor's degree and three (3) years relevant experience. The equivalent in education, training, and professional experience can be substituted for the degree requirement.
  • At least one year of experience in student support or program coordination.
  • Demonstrated commitment to diversity and inclusion initiatives.

Other Qualifications
  • Excellent interpersonal, writing, and communication skills are required.
  • Proficiency of Microsoft Office Suite, especially Microsoft Word and Excel
  • Ability to successfully prioritize multiple responsibilities and projects.
  • Strong sense of teamwork including the ability to establish and maintain strong relationships.
  • Ability to manage professional relations with various constituencies and represent the programs, department, and institution in a positive manner will be expected
