This position is located at the DMV Headquarters in Sacramento.
The incumbent will assist the Deputy Director with administrative detail; maintain all general and confidential records and files for the Deputy Director; review, screen and prioritize incoming correspondence; maintain confidential file systems and databases; gather appropriate background material as necessary or assign to appropriate Field Operations Division (FOD) management staff; monitor and track deadlines and progress to ensure timely response and content fulfills original assignment; track and manage controlled correspondence and assignments sent to California Transportation Agency from the division and the Deputy Director; assist in providing responses to inquiries and external requests for general and specialty reports; assist and coordinate the collection and compilation of information for various division reports, such as Program Information Report (PIR) and Week Ahead Reports; ensure that specific departmental rules and format policies are adhered to regarding the quality of documents; compose letters and memoranda for the Deputy Director's signature; receive and screen visitors and telephone calls on behalf of the Deputy Director; assist and provide backup support for the FOD HQ main telephone line when necessary; develop meeting agendas, coordinate guest speakers and document meeting minutes and notes for distribution to attendees; and maintain the Deputy Director's calendar.
