The University of Virginia School of Law seeks an experienced, well-organized, and results-oriented professional to serve as Executive Assistant to the Dean. The incumbent will provide comprehensive support to the Dean of the Law School and work as part of a team to support the Dean's Office. This dynamic position will manage the Dean's busy meeting and travel schedule, correspondence, and workflow; make travel arrangements and prepare expense reimbursement requests; provide administrative support for the Dean's courses; and handle special projects as assigned. The Executive Assistant will also serve as the primary point of contact for the Dean's Office and welcome visitors, respond to or triage email inquiries, answer the telephone, and complete other duties as assigned. The successful candidate will be detail-oriented, able to prioritize and multitask, composed under pressure, and consistently professional.

Candidates for this position will be expected to:
  • Provide sophisticated, proactive calendar management for the Dean, with good judgment and strong attention to detail.
  • Coordinate with employees and external contacts to help facilitate meetings, events, and travel, ensuring the Dean is well-prepared.
  • Make travel arrangements for the Dean and prepare travel / other reimbursements, with appropriate documentation and in accordance with required policies and procedures.
  • Review and manage incoming correspondence, as well as coordinate or prepare drafts of select outgoing correspondence.
  • Provide administrative and logistical support for classes the Dean teaches, some of which may meet on evenings or weekends. Organize and maintain course materials and communicate with students enrolled in the Dean's courses.
  • Coordinate logistics for a subset of events hosted by the Dean. This includes making restaurant reservations, placing catering orders, and coordinating pick-up or delivery of catering orders. On occasion, the Executive Assistant may be asked to pick up food, beverages or supplies and bring them to an off-site event.
  • Serve as a liaison between the Dean's Office and University leadership offices, assisting with relationship building and project coordination among various leadership offices.
  • Provide hospitality to all Dean's Office guests and help foster a welcoming environment.
  • Track projects and ensure that requests for information and reports are met on time.
  • Answer phones, respond to routine inquiries, and route calls to others as appropriate.
  • Maintain confidentiality and exercise excellent judgment.
  • Other duties as assigned.
Requirements:
  • Bachelor's degree or related experience in lieu of a degree.
  • At least three years' experience supporting a senior executive; experience within higher education preferred.
  • Ability to handle multiple and competing priorities simultaneously.
  • Ability to communicate clearly and cordially, both orally and in writing, with proper grammar and usage.
  • Strong working knowledge of administrative procedures.
  • Demonstrated proficiency in Microsoft Office applications.
  • Ability to work occasional evenings or weekends, with prior notice.
  • Valid Virginia driver's license.
This position requires most work to be performed in person at the Law School, with the opportunity to perform a limited amount of work remotely in accordance with Law School policy. This is a full-time University Operational and Administrative Staff position with benefits .
