Position Summary

The Field Services Coordinator is responsible for booking and managing travel arrangements for field personnel, ensuring timely and cost-effective travel, and handling expense reconciliation. The role includes managing employee screening requirements, shipping materials and tools for projects, and maintaining inventory and calibration processes. Additionally, the coordinator supports recruitment efforts, assists divisional leaders with administrative tasks, and ensures efficient communication and project coordination within the division.

Position Responsibilities
  • Responsible for booking all travel arrangements for field personnel and others in the division needing support. Schedules itinerary in Company's travel tool, confirming all travel details and costing information. Make travel changes, organize travel receipts and completes expense reconciliation. Provides evening and weekend coverage remotely on a as needed basis.
  • Manage employee screening requirements in conjunction with HR ensuring timely processing.
  • Manage and ensures shipping of materials and tooling for projects are completed in a timely and cost-effective manner.
  • Manage inventory of tooling and calibration processes.
  • Assist with recruitment of staff by scheduling interviews, coordinating any candidate travel, and ensuring a favorable experience for the candidate upon arrival at the facility.
  • Support the leaders in the division with administrative tasks to include scheduling appointments, assessing data needed for meetings and ensuring team members receive needed documents in advance of appointments, meetings, speaking engagements, conferences, interviews, etc.
  • Maintain an efficient flow of information between all levels of the division's internal and external contacts on a wide spectrum of AeroAdvantage's plans and priorities.
  • Attend Project management meetings with the team to ensure project coordination is completed.
  • Follow up with staff to ensure deadlines are met; reviews other prepared documents requiring signature(s), such as purchase orders, leave requests, expense reports, contracts, etc.
  • Respond to and handles confidential and sensitive information with poise, tact, and diplomacy.
  • Other duties as assigned.


Required Qualifications
  • Minimum high school diploma or GED, or relevant work experience in lieu of education.
  • 5+ years of experience working in administrative position.
  • Must read, write and speak fluent English.
  • US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa.
  • Successful candidate will need to satisfactorily complete pre-employment drug screen and background check.

Desired Qualifications
  • Intermediate level skills in Microsoft Word, Excel and PowerPoint.
  • Prior travel scheduling experience highly desired.
  • Associate's or Bachelor's degree in a business discipline
  • Bilingual in English and Spanish
