This position will work a hybrid schedule which includes a combination of working both onsite at Towne Centre Drive and remote.

DESCRIPTION

The UC San Diego Health Information Services department is seeking a detail-oriented and proactive Finance Administrative Support Specialist to join our Finance team. The Finance Administrative Support Specialist performs a wide range of customer service and financial support duties for Information Services departments and projects. Responsibilities will include customer service, processing and researching customer requests, assisting finance analysts with research, transaction reconciliations, and data entry. This position is ideal for someone who thrives in a fast-paced environment and enjoys working with financial data and customer service.

Key Responsibilities:

Customer Service & Support:
  • Respond to customer inquiries and requests related to billing, payments, and financial transactions.
  • Process and resolve customer issues in a timely and professional manner, escalating complex issues to the appropriate team members.
  • Maintain accurate records of customer interactions and transactions.
Financial Processing & Research:
  • Assist in processing financial transactions, ensuring accuracy and compliance with company policies.
  • Research and resolve discrepancies in financial data, working closely with finance analysts to gather necessary information.
  • Support the finance team in investigating and resolving transaction issues, including discrepancies in payments, invoicing, and account reconciliations.
Administrative Support:
  • Perform data entry tasks, ensuring accurate and timely input of financial information into the company's financial systems.
  • Assist in preparing financial reports, documents, and presentations for internal and external stakeholders.
  • Maintain organized and up-to-date financial records and filing systems.
  • Coordinate and schedule meetings, appointments, and other administrative tasks as needed.
Reconciliation & Reporting:
  • Assist in the reconciliation of accounts, ensuring that all transactions are accounted for and discrepancies are addressed promptly.
  • Support finance analysts in preparing monthly, quarterly, and annual financial statements and reports.
  • Help in monitoring financial performance and identifying areas for improvement or efficiency gains.
MINIMUM QUALIFICATIONS
  • Six (6) years of related experience, education/training OR Bachelor's degree in related area and/or equivalent experience/training, plus two (2) years of related experience.
  • Working knowledge of finance policies, practices, and systems.
  • Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments.
  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.
  • Demonstrated ability using spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports.
  • Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail. Demonstrated ability using organizational skills to multi-task in a high volume environment.
  • Ability to adapt to changing priorities.
PREFERRED QUALIFICATIONS
  • General leger reconciliation experience.
  • Proven experience in a finance or administrative support role in a finance department.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with financial software or ERP systems is a plus.
  • Experience working in a large and high-volume organization.
  • Independent and Team Oriented: Capable of working autonomously while also effectively collaborating with various team members stakeholders.

  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
