DEPARTMENT OVERVIEW

Birch Aquarium at Scripps (aquarium.ucsd.edu) is a non-profit exploration center for Scripps Institution of Oceanography at UC San Diego. The aquarium showcases over 60 habitats of fish and invertebrates. The interactive museum features research discoveries by Scripps scientists and engages visitors of all ages.

POSITION DESCRIPTION

The HR Coordinator is a professional role within the Human Resources unit at Birch Aquarium. This position is crucial in managing HR operations. The Coordinator's primary responsibility is ensuring accurate and timely processing of HR transactions for aquarium employees through UC Path. The responsibilities also include managing various HR-related policies and programs, from employee data management to benefits administration. The coordinator serves as the main point of contact for UC Path-related inquiries and works to optimize the use of the system for Birch Aquarium's specific needs.

The HR Coordinator is also responsible for managing and processing payroll for Birch Aquarium staff using the EcoTime system. They oversee the accurate and timely submission of time records, process payroll transactions, and address any payroll-related issues or questions from aquarium employees. The coordinator also works on continual process improvements to enhance efficiency and accuracy.

In support of the recruitment process, the HR Coordinator works with aquarium managers to develop interview strategies and selection criteria. They also assist in job analysis, classification recommendations, and compensation strategies tailored to the unique needs of the aquarium environment.

The role involves addressing concerns about employee relations, improving workplace relationships, and providing recommendations for resolving issues among aquarium staff. The Coordinator interprets and explains HR policies and procedures to employees at all levels within the aquarium, serving as a liaison between staff and management.

Another key responsibility is supporting the performance management process for aquarium employees, which includes tracking appraisals and training supervisors on evaluation techniques. The HR Coordinator also collaborates with department leaders to identify training needs specific to aquarium operations, develop appropriate programs, and evaluate their effectiveness.

The HR Coordinator oversees the hiring and onboarding processes for new aquarium staff and student employees. This includes conducting orientations tailored to the aquarium environment and ensuring the completion of all required documentation and training.

In addition, the Coordinator manages employee files for aquarium staff, maintaining efficient filing systems and ensuring data integrity and confidentiality. They also participate in and may lead special HR projects specific to Birch Aquarium's needs.

This multifaceted position requires a detail-oriented individual who can effectively manage multiple responsibilities, with a particular focus on UC Path and EcoTime systems, to contribute to the overall effectiveness of Birch Aquarium's HR function.

QUALIFICATIONS
  • Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills. Working knowledge of other areas of HR.
  • Knowledge of organizational policies and procedures and knowledge of functional area. Demonstrated knowledge of human resources and payroll administration principles.
  • Experience with human resources management systems (HRMS), and / or other related business software programs and systems.
  • Ability to self-initiate and to work and act independently, prioritize job functions, and demonstrate flexibility to meet deadlines in a high-volume work environment and ensure smooth workflow. Ability to function as a team member, keeping various staff members informed as required.
  • Knowledge of human resources policies and programs, and how they affect other organizational policies and procedures.
  • Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments.
  • Demonstrated ability to handle difficult or volatile situations / individuals effectively.
  • Demonstrated math skills to calculate percentages accurately.
  • Ability to understand information provided in meetings (departmental and campus) and to apply that information to business office operations and disseminate it to any personnel affected.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
