Job Summary:

The Office of the Chief Administrative Officer (CAO) provides operations support services and business solutions to the community of 10,000 House Members, Officers and staff. The CAO organization comprises more than 650 technical and administrative staff working in a variety of areas, including information technology, finance, budget management, human resources, payroll, childcare, food and vending, procurement, logistics and administrative counsel.

This position will serve as an Administrative Support Assistant to the HRCCC Administrator located at the Child Development Center. Key responsibilities include answering telephones, greeting patrons, faxing necessary documents, filing paperwork as directed, and support the program in tracking incident/accidents. The position does not have day-to-day supervisory/managerial responsibilities.

*Paid at an annual rate of $35,677 not to exceed 120 days
** The CAO standard business hours are 8:30am-5:30pm Monday through Friday. This is a full-time 40-hour per week internship that will require onsite attendance in Washington, D.C.

Primary Duties/Responsibilities:
  • Performing general administrative duties in support of the operational activities of the HCCC; maintaining accurate records; processing accounts payable and receivable; and assisting with the management of the waitlist.
  • Documents and processes accounts payable and accounts receivable in a timely manner.
  • Maintains accurate records and logs in a timely and organized fashion.
  • Assists with management of the House Child Care Center waitlist.
  • Develops familiarity and maintains compliance with all applicable legal requirements including House, Committee, CAO, and House Child Care Canter rules, practices, policies, and procedures.
  • Treats all children, families, and staff with dignity and respect, allowing for individual differences. Establishes positive relationships with each child, family member, and coworker.
  • Maintains confidentiality.
  • Remains calm in challenging situations.
  • Supports the fiscal operations of the House Child Care Center. Assists with ongoing financial analysis and reconciliation.
  • Provides day-to-day administrative support for management and staff as required; assists with handling incoming calls; answers routine inquiries, tracks, forwards, and/or takes messages as appropriate.
  • Supports child intake and withdrawal processes and paperwork, including child files.
  • Maintains awareness of all special health and dietary needs.
  • Works with the Operations Manager to support the general upkeep and maintenance of indoor and outdoor environments and supplies.
  • Acquires, arranges for, and manages internal and external resources; uses materials and resources effectively. Monitors usage and inventory levels of supplies and materials and maintains organization throughout the Center.
  • Contributes to the House Child Care Center and CAO teams; shows initiative towards the improvement of provided services by sharing ideas and participating in meetings.
  • Communicates effectively and professionally both orally and in writing.
  • Prepares, reviews, and edits sensitive and confidential reports, memoranda, and correspondence.
  • Supports the Summer Enrichment Program.
  • Helps maintain a safe and healthy work environment; utilizes universal precautions and brings to Director's attention any relevant information or issues concerning or related to staff, children, and/or families. Monitors and responds appropriately to illness, injury, and other emergency situations. Ensures staff follow cleaning and sanitation guidelines.
  • Participates in special limited term and long-term projects and initiatives; participates in after action reviews and provides feedback as appropriate.
  • Seeks and attends ongoing professional development and demonstrates an attitude of continual growth. Attends cross organizational trainings within the CAO.
  • Performs other official duties and special projects as assigned.
