Summary
The David J. Sugarbaker Division of Thoracic Surgery within the Michael E. DeBakey Department of Surgery at Baylor College of Medicine (BCM) seeks a Lead Coordinator for Business Operations in a team-based clinical office setting to provide the division with high-quality administrative support of financial and business processes. The role will lead other operational support employees, manage, and coordinate projects and programs for the division and the Lung Institute. The role will liaise with departments across BCM and serve as a point of contact regarding business and project inquiries. The ideal candidate will be upbeat and organized, proactively communicate any challenges or delays, and assist other team members as needed. Candidate should be knowledgeable with Microsoft Office applications, project management, and have experience with EMR systems.
Job Duties
Performs advanced administrative duties to support effective and efficient operations within the clinical office setting to achieve the Department's mission and goals.
60% - Administrative Operations

• Serves as primary point of contact in the division for the division administrator, division chief, and director of Lung Institute.
• Assists with budget planning, development, and monitoring projects and programs for the division and Lung Institute.
• Builds and manages the program project for the Lung Nodule clinic, including but not limited to building a database of patients for tracking, acquiring appropriate software and managing operational integration, and leading effort of various proposals related to establishment of the clinic, including concept PowerPoints and proformas.
• Builds and manages the program project for the mobile lung screening service, including but not limited to purchasing and staffing of mobile truck, building a database of patients for tracking, manage all communication with other Lung Institute members, and leading effort of various proposals related to establishment of the screening service, including concept PowerPoints and proformas.
• Assists in managing and coordinating all Lung Institute outreach efforts to grow the thoracic practice and Lung Institute Center.
• Maintains calendars and team scheduling for division chief and director of Lung Institute.
• Assists in managing Lung Institute podcast.
• Maintains faculty personnel files, records, credentials, and licensing; Assists with credentialing and onboarding thoracic surgery faculty and staff.
• Manages domestic and international travel for thoracic surgery faculty in the travel management system (Concur).
• Creates and distributes operational and financial and ad hoc reports using SAP, BRAIN, or other software.
• Processes bills for payment and purchase orders for procurement of equipment, supplies, and uniforms as needed for the division and Lung Institute.
• Liaises with Human Resources regarding visa applications and extensions, recruitment, and other personnel related matters required by the division.
• Leads and trains other operational support staff as the Lung Institute grows.
• Performs other job-related duties as assigned.

Minimum Qualifications
- High School diploma or GED.
- Six years of relevant experience.
Preferred Qualifications
- Bachelor's degree.
- Proficiency in Microsoft Word, PowerPoint, and Excel
- Project management experience.
- Strong verbal and written communication skills.
- Working in an academic medicine environment.
