Cozen O'Connor has an excellent opportunity for a dynamic full-time Office Coordinator in our Boca Raton office. The ideal candidate is an enthusiastic self-starter, who is able to perform extensive multi-tasking under numerous time constraints with exceptional attention to detail; someone who takes initiative; thinks strategically and independently and is confident to interact with all levels of the firm. The position requires excellent communication, organizational, and computer skills.

Responsibilities:
  • Work closely with Regional Office Manager, to provide assistance to attorneys, secretaries and paralegals
  • Workflow coordination
  • Receive checks in Boca office, identify matter and deposit with remote deposit capture; email finance team
  • Deposit Trustee checks with bank
  • Assist with key tasks related to onboarding and off-boarding of PCS attorneys, paralegals and business professionals to ensure effective integration/with department needs
  • Manage vendor relationships
  • Handle day to day office responsibilities
  • Coordinate with the administrative team to include receptionist and office services to provide coverage and excellent customer service
  • Troubleshoot office equipment
  • Guest services to include hospitality, catering, and travel/reservation needs
  • Coordinate client and office events both in the office and outside venues
  • Maintain filing - create labels, update pleading indexes, index, and ship offsite once closed
  • Communicate with building, e.g. safety protocol, requests for maintenance and work orders
  • Track, compile, organize, and submit appropriate expenses into Chrome River
  • Work with secretaries and paralegals to close files
  • Open new matters and assist with conflict checks

Qualifications:
  • 2 - 3 years of office/clerical administrative experience in a law firm is preferred
  • Experience with InterAction (CRM), Chrome River, and advanced Microsoft Office
  • Ability to draft, proofread and edit correspondence, e-mails with minimal supervision
  • Ability to work autonomously or in a team environment
  • Work well under pressure and strict deadlines
  • Ability to work overtime if necessary
  • Typing skills of 60 w.p.m.
  • Strong organizational skills
  • Highly effective written and verbal communication skills
  • Ability to work well with all levels of firm employees, clients, visitors, and vendors
  • Attention to detail in all interactions and work product
  • Aptitude to learn all firm software applications
  • High school diploma required; college degree preferred
