The Lee Group is searching for an Office Assistant to work for one of our valued clients in Chesapeake, VA. As an Office Assistant, you will play a key role in ensuring the smooth operation of our office. You will be responsible for handling administrative tasks, providing support to staff and management, and helping to create a positive work environment. Job Responsibilities of an Office Assistant

  • Supervise and lead clerical staff, including training, scheduling, and evaluating work.
  • Handle personnel actions and benefits processing.
  • Perform specialized office tasks like transcribing meeting minutes, creating forms, and typing reports.
  • Interact with departments, clients, and the public, resolving issues and relaying messages.
  • Maintain personnel records and prepare payroll; assist with audits and technical projects.
  • Manage departmental budget, assist in budget preparation, and administer expenditures.
  • Compile data, prepare reports, and maintain records and files; track grants.
  • Manage supply inventory, process requisitions and purchase orders, and handle accounts payable/receivable.
  • Coordinate sites, databases, and programs; distribute informational materials; troubleshoot department computers.
  • Schedule appointments, coordinate meetings, and handle mail processing.
  • Maintain file systems and ensure data accuracy.
  • Enter data into systems and train staff and external agencies on system operations.
  • Ensure staff certifications are maintained and schedule re-certifications.
  • Perform routine office tasks like data entry, filing, faxing, and photocopying.
  • Travel to off-site locations for inspections.
  • Assist with special projects and other duties as assigned.


Job Requirements of an Office Assistant

  • High school diploma or equivalent; additional education or certifications are a plus.
  • Proven experience in an office assistant or similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as part of a team.
  • Attention to detail and a proactive approach to problem-solving.
  • Familiarity with basic accounting procedures is a plus.
