The Office of the State Long-Term Care Ombudsman (SLTCO) safeguards the rights of consumers of long-term care and other services throughout Ohio. The office's mission is to advocate for excellence wherever consumers live. Representatives of the office seek resolution of problems and advocate for consumers and residents of nursing homes and other long-term care settings, with the goal of enhancing their quality of life and care.

About the Role

The Executive Assistant to the State Long-Term Care Ombudsman (SLTCO) plays a pivotal role in supporting the SLTCO and the office team by providing comprehensive program direction, supervising staff, managing schedules, and ensuring efficient office operations. This position is responsible for handling administrative tasks such as managing the SLTCO's calendar, coordinating travel arrangements, preparing documents, and compiling reports. Additionally, the Executive Assistant acts as a key liaison, representing the SLTCO at interagency and stakeholder meetings, planning team retreats, and maintaining client confidentiality. The role requires excellent organizational, communication, and leadership skills to effectively support the mission of advocating for the rights and quality of life of long-term care consumers in Ohio.

Key duties ofthis role are:

• Assist SLTCO with program operations, track and flag deadlines for the team, and communicate decisions, directives, or assignments to appropriate staff.

• Act on behalf of the State Long-Term Care Ombudsman (SLTCO) in communication with stakeholders and in inter-agency efforts as assigned.

• Manage the SLTCO calendar, take meeting minutes, schedule and assist with travel arrangements and speaking engagements.

• Provide program direction, supervise staff, assign goals, document work status, and complete staff performance evaluations.

• Manage workforce schedules, monitor, validate, and approve leave for bi-weekly payroll and travel.

• Recommend staff for discipline, initiate corrective action, or make performance improvement recommendations.

• Plan and implement team retreats, work with program staff to plan meetings, and represent the SLTCO and team at interagency and stakeholder meetings and events.

• Prepare documents and correspondence, receive and flag weekly reports for the SLTCO's attention, and compile and submit weekly reports to the executive team.

Qualifications

5 yrs. trg. or 5 yrs. exp. in business administration, management or public administration.

-Or completion of undergraduate core program in business administration, management or public administration; 36 mos. trg. or 36 mos. exp. in supervisory, administrative &/or managerial position.

-Or completion of undergraduate core program for academic field of study commensurate with program area to be assigned per approved Position Description on File; 36 mos. trg. or 36 mos. exp. in supervisory, administrative, managerial &/or staff position involving planning, research &/or policy/procedure development.

-Or 1 yr. exp. as Program Administrator 2, 63123.

-Or equivalent of Minimum Class Qualifications For Employment noted above.
