Part Time Executive Administrative Assistant (Concur)

We are seeking an Executive Administrative Assistant for a Part-Time contract opportunity. The P/T EA will manage calendars (Google) and set up meetings (in-person or via Zoom), and collect and organize receipts to be inputted into Concur system for reimbursement, and communicate with Leadership and their assistants on Executives behalf . There will be other work tasks, however the above duties are priorities.
Other duties
This role supports the strategic initiatives through effective project management and the daily operations.
Manage access to the Sr VP by identifying the objectives of the individuals the Sr VP should be meeting with and ensure that the Sr VP is fully prepared for these meetings. Coordinate the flow of information for the Sr VP as well as senior EM and external constituents, school leadership and administrators. Represent EM leadership to internal and external contacts. Manage requests for appointments, prioritize and resolve problems, as appropriate, determining which cases need EM leadership involvement and which are readily resolved. Ensure arrangements are made for meetings and assist with the development of agendas; anticipate and supervise the compilation of materials for appointments, meetings, and special conferences.
Current Required Experience
At least five years of relevant experience or equivalent combination of education and experience.
Current Required Knowledge, Skills and Abilities
Strong scheduling and meeting management capabilities. Proven ability to handle multiple priorities under deadlines while maintaining a high level of professionalism and attention to detail. Strong organizational, interpersonal, and problem solving. Ability to develop, implement, and interpret policies and procedures and effectively communicate verbally and in writing to a diverse population. Good judgment, tact, diplomacy, discretion, and ability to maintain confidences are essential. Ability to work in a fast-paced and dynamic environment. Ability to be creative and flexible in response to complex work situations. Appropriate level proficiency with word processing and spreadsheet applications.
Current Preferred Knowledge, Skills and Abilities
Proficiency with Google Platform, Zoom and Concur is a MUST , Microsoft Word, Excel, and PowerPoint.
Additional Preferred Knowledge, Skills and Abilities
Must be well versed in quality data collection to ensure adequacy, accuracy and legitimacy of data and be able to strictly follow data privacy and security procedures for data handling and analysis to ensure adherence to legal and institutional standards.
