GENERAL SUMMARY/ OVERVIEW STATEMENT:

Under the general direction of the Practice Manager, the Patient Services Coordinator (PSC) II is responsible for the day-to-day administrative functions of the front desk, which includes but is not limited to scheduling appointments, maintaining a productive and full schedule, collecting co-payments, checking in patients, exiting patients, treatment planning, answering phones, and making confirmation calls. The incumbent also provides administrative support to the dentists, the Practice Manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Check in patients-greet patients, provide new patients with new patient paperwork, verify insurance information, enter new patient information into the practice's dental practice management software (DPMS), ask for changes in demographic data, mark no-shows and arrivals on the schedule and add initials, alert clinicians of patients arrival, note and track patients' arrival in the DPMS, and add HIPAA information.

• Check out- collect payments due, make appointments, add transactions into the practice's DPMS, print claim when applicable, and coordinate treatment plans and payment schedules; review all applicable insurance coverage issues with patients.

• Fill empty slots from same day cancellations, no-shows and patient recall lists.

Other duties include (some are on a rotational basis):

• Generate pre-treatment estimates for all providers.

• Answer phones and clear voicemails on a timely basis.

• Generate no-show letters and appointment reminder and recall cards per printing schedule.

• Order supplies.

• Process x-ray and charting requests.

• Prepare and send new patient package for new patients.

• Print and mail No-show letters.

• Schedule appointments, fill empty slots and make confirmation calls, and fax specialists' schedules (on a rotational basis).

• Collection Agency-Send new accounts to collection agency and provide supplemental information.

• Maintain a clean reception area.

• Run statements, print overdue letters for applicable accounts, and mail all statements.

• Process dental consult requests, check requests, and consult cards.

• Enter patient payments and insurance checks.

• Conduct the end of day closeout.

• Perform all assignments assigned by clinical staff and all other duties and projects as assigned by the Practice Director and Manager.

Qualifications

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

• Computer literate; must possess basic computer efficiencies and the ability to learn software system

• Experience with common PC computer software including Microsoft Word, PowerPoint, Excel, Access and Outlook

• Knowledge of office equipment usage (phone, fax, copier)

• Effective interpersonal and communication skills.

• Able to multi-task.

• Good organizational and problem solving skills.

• Typing skill of 30wpm or more.

• Detail-oriented

• Able to work in a team environment

EDUCATION:

High School Diploma or GED required; college education preferred

EXPERIENCE:

• 3-5 years of dental office experience preferred

• Previous experience with dental or medical practice management, electronic charting, and digital radiography systems strongly preferred
