Job Summary:
These positions provide administrative support to the Department of Human Oncology (DHO) Physicians and Physicists. The positions will maintain the faculty calendars, schedule meetings, compile data and create reports as requested, arrange and coordinate itineraries and travel arrangements for faculty, complete faculty travel expense reports and purchase reimbursements. Office support includes independent composition of correspondence; maintaining files of program related data, purchasing, and scheduling space for meetings and educational purposes as needed.
Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 25% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 40% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 10% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 10% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Qualifications:
This position requires excellent administrative, organizational, oral and written communication, computer and interpersonal skills to coordinate complex academic, financial, research and administrative activities.

The individual in this position must present a positive and respectful attitude in all personal, telephone, and email interactions and communicate effectively with faculty, staff, students both within and outside of the department.

This position requires the ability to multitask, prioritize, exercise initiative, self-motivation, independent judgment, critical thinking regarding complex tasks or problems under general supervision.

Familiarity with Mac-based computer systems and applications is preferred.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

One opening will be housed at UW Hospital (600 Highland Ave Madison, WI), and the other opening will be housed at the Eastpark Medical Center clinic (4621 Eastpark Blvd Madison, WI).
