Position Overview: We are seeking an experienced and dynamic Senior Manager to lead our ABA Client Intake, Admissions, and Planning processes. This crucial role will oversee the entire client journey from initial contact through the development of individualized treatment plans, ensuring a smooth and efficient experience for clients and their families.

Key Responsibilities:

Client Intake:

  • Develop and implement efficient intake procedures for new ABA therapy clients across Behavioral Health and School Services business lines
  • Oversee the initial screening and assessment process
  • Ensure all necessary documentation is collected and properly filed
  • Collaborate with the clinical team to determine client eligibility and service needs

Client Enrollment:

  • Design and manage a comprehensive enrollment program for new clients and their families
  • Create and maintain client welcome packages and orientation materials
  • Coordinate with various departments to ensure a seamless transition into ABA services

Team Leadership:

  • Manage and mentor a team of intake coordinators and planning specialists
  • Provide ongoing training and professional development opportunities for team members
  • Conduct regular performance evaluations and set team goals


Process Improvement:

  • Continuously evaluate and refine intake, admissions, and planning processes for efficiency and effectiveness
  • Implement and maintain tracking systems to monitor key performance indicators
  • Stay informed about industry trends and best practices in ABA client services

Stakeholder Communication:

  • Serve as a primary point of contact for clients, families, and internal departments regarding intake and planning processes
  • Develop and maintain strong relationships with funding sources and insurance providers
  • Collaborate with marketing and outreach teams to support client acquisition efforts

Compliance and Reporting:

  • Ensure all intake and planning processes comply with HIPAA, insurance requirements, and other relevant regulations
  • Prepare and present regular reports on intake metrics, capacity, and outcomes metrics


Qualifications:

  • Bachelor's degree in Psychology, Behavior Analysis, Special Education, Healthcare Administration, Business Administration or related field; Master's degree preferred
  • BCBA certification strongly preferred
  • 5+ years of experience in ABA therapy support services, with at least 3 years in a management role
  • Strong understanding of autism spectrum disorders and related developmental disabilities
  • Excellent leadership, communication, and interpersonal skills
  • Proven ability to manage complex projects and lead teams effectively
  • Experience with electronic health records (EHR) systems and data analysis tools
  • Central Reach and/or Salesforce experience strongly preferred
  • Business Intelligence experience (PowerBI, Tableau, etc.) strongly preferred
  • Familiarity with insurance billing processes and requirements for ABA services
