Department Summary

The Texas Academy of Mathematics and Science (TAMS) is a unique residential program for high school-aged Texas students who are high achievers and interested in mathematics and science. While living on campus in McConnell Hall, students in this two-year program complete a rigorous academic curriculum of college coursework at the University of North Texas (UNT). Instruction is by university faculty. There are no high school courses taught, but students enjoy many of the activities of high school and the company of age mates who are intellectual peers.

Position Overview

To provide administrative support to the Director of Student Life for TAMS Student Life. The Student Services Specialist also organizes and maintains records for all students in TAMS pertaining to documents, reports, and medical information. In addition, this position also assists in student life events where needed regarding TAMS including but not limited to: TAMS Summer and Fall Orientation, Move In and Close Down at the residence hall, Rose cutting ceremony, etc.

This position also provides student services within other offices for various tasks and events. Proper use of university credit card for student activities and staff events will be required. Driving students in university vehicles for various events is a possibility.

Minimum Qualifications

Associate's Degree and two years' of office administration experience; or any equivalent combination of education, training and experience.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

Familiarity with the UNT Campus, Microsoft Office proficiency, event planning experience, excellent customer service skills, experience and familiarity working with adolescents and their families, accustomed to walking several times across the UNT campus, and ability to climb 3 flights of stairs, innovative and independent enough to work on projects with little oversight.

Job Duties:
  • Knowledge of electronic information systems and accounting systems TAMS InfoEngine; Perceptive Content; Microsoft Office suite; Adobe Illustrator, Publisher, and InDesign; NelNet; EIS.
  • Ability to establish and maintain professional working relationships with a variety of internal and external contacts: UNT office, TAMS offices, Campus Reservations, and consistent communication with incoming TAMS students and parents.
  • Knowledge of business principles, practices and techniques: quality customer service; quality written verbal communication with customers and fellow staff; responsible budgeting; time management; proper purchasing procedures following departmental and UNT Guidelines.
  • Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats; Establishes and maintains a confidential file for each student and maintains security of files. Collects student forms through registration and admission season (Dec June). All student files updated and ready for Move In by late July/early August for Student Life office and the residence hall.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively. Set timeline and deadlines to successfully carry out TAMS Events: Summer Orientation, Rosecutting/Student Life awards, Staff Training, Fall Move-In, Fall Orientation.
  • Digitally adds copies of students disciplinary documentations to student files. Makes courtesy calls, /or medical follow up calls; maintains a record of daily mailings calls. Contacts families within the 24 hour window of the medical report or Monday morning if over the weekend.
  • Summer Orientation: Makes reservations for UNT rooms and services; coordinates lodging and dining for parents with UNT; sends pre-event letters with reminders, map, remaining forms to parents; oversees orientation program arrangements; works with student volunteers for Student Life presentations; sends thank you emails or notes, assists in evaluating the program. Makes reservations one year in advance; creates reservations for classrooms for all events; creates reservations for orders of food for all events; sends email to parents one month before event for preparation of coming to event; makes reservations for lodging and dining services by the requested deadline.
  • Summer Orientation Registration: Edits all TAMS registration forms on computer; coordinates with Network Manager and Office of Admissions to update online registration and email registration instructions in the fall semester. Keeps records of all registration forms received; notifies parent and student if forms have not been returned by due date.
  • Directory Information Updates: Access Form created for Fall Move-In dates and then changes made within 1 week of move-in for all changes to database. Completes Access forms and delivers lists to hall staff by the first day of Fall move in. Day of Fall Move In coordinates the check in process that focuses on directory information checking. Physically present and active in the residence hall during Fall move in.
  • Host Family Program: edit application forms; coordinate matches; establish Emergency Backup families for each closed weekend and communicate those families to the hall staff by Friday morning of each closed weekend. Prepares forms by Summer Orientation; wing announcement week before Closed Weekends and announce at staff meeting for RAs to ensure every student has a place to go; contact Emergency Backup family's week prior to assigned weekend; pass on Host Family directory information to Hall Directors.
  • After finishing all UNT training regarding purchasing guidelines and procedures, this position will participate with purchases for student activities and staff events. This includes but is not limited to teaming with the hall staff on a weekly rotation where single day purchasing trips are made for multiple student groups. Proper reconciliation is required of all purchases and need to be communicated to the Assistant Director of Student Life.
