This full-time role offers a Monday-to-Friday day shift from 8:30 a.m. to 5:00 p.m., with the opportunity to work remotely 2-3 days a week. Responsibilities:
  • Collaborate with the department to troubleshoot and resolve procedural and operational issues efficiently.
  • Coordinate and track patient follow-up using Refract Tracker and EPIC systems.
  • Prepare and send all required admission reservations and requisitions, including demographics and insurance details, to hospitals.
  • Communicate with hospital personnel to coordinate cases and obtain approval for hospital admissions.
  • Discuss and arrange financial details before surgery, including collecting pre-payments and ensuring informed consent is signed.
  • Provide patients with preoperative and postoperative instructions following specific service guidelines.
  • Organize patient education seminars and coordinate physician schedules accordingly.
  • Collect data for research studies and schedule pre-screening exams, diagnostic testing, post-operative appointments, and surgical cases for patients.
  • Ensure all billing and insurance information is up-to-date and accurate.
  • Complete assigned special projects and serve as a liaison between patients and referring physicians.
  • Obtain pre-certification and/or referrals before procedures and track internal and external marketing efforts.
  • Attend and schedule department meetings, and respond to all telephone inquiries regarding surgery, providing both verbal and printed educational materials.


Qualifications:

  • Ability to prioritize work demands
  • Ability to consistently maintain confidentiality with regards to all job assignments and related information
  • Access to medications is limited to the distribution of the medication to the nurse
  • Ability to deal compassionately and professionally with patients is essential
  • Work independently and possess sound decision-making skills
  • Tact and diplomacy are necessary in dealing with physicians, patients and their families and other employees

Required:
  • High school diploma or equivalent
  • Completion of a medical assisting program or 2-4 years' experience in a medical field

Preferred:
  • Proficiency in medical terminology
  • General knowledge of computer software and practice management databases is essential
  • Knowledge of the Epic practice management programs
  • Strong organization, time management and interpersonal skills
  • Knowledge of insurance regulations, specifically Medicare, BC/BS, managed care plans and workers compensation carriers regarding scheduling and approval of surgical procedures
