Responsibilities:
  • Troubleshoot procedural and operational issues directly with the department.
  • Coordinate and monitor patient follow-up using Refract Tracker and EPIC systems.
  • Prepare and send admission reservations/requisitions with demographics and insurance info to hospitals.
  • Manage case coordination and communication with hospital personnel for admission approvals.
  • Discuss and organize financial arrangements, including collecting pre-payments before surgery.
  • Ensure informed consents are signed by patients.
  • Provide pre- and postoperative instructions based on service-specific guidelines.
  • Coordinate patient education seminars and schedule physicians for these sessions.
  • Collect research data for studies.
  • Schedule pre-screening exams, diagnostic tests, post-op appointments, and surgical cases.
  • Maintain current and accurate billing and insurance information.
  • Complete special projects as assigned by the department.
  • Serve as a liaison between patients and referring physicians.
  • Obtain pre-certification and referrals as needed before procedures.
  • Track and coordinate internal and external marketing efforts.
  • Attend and schedule department meetings.
  • Respond to all incoming calls regarding surgery, providing educational materials and information.


Qualifications:

  • Strong organizational, time management, and interpersonal skills.
  • Tact and diplomacy in interactions with physicians, patients, families, and colleagues.
  • Compassionate and professional patient care.
  • Independent work with sound decision-making.
  • Knowledge of insurance regulations (Medicare, BC/BS, managed care, workers' comp).
  • Ability to prioritize tasks effectively.
  • Maintain confidentiality in all job-related matters.
  • Limited medication access, restricted to distribution to the nurse.

Required:
  • High school diploma or equivalent
  • Completion of a medical assisting program or 2-4 years' experience in a medical field.

Preferred:
  • Proficiency in medical terminology
  • Knowledge of the Epic practice management programs
  • General knowledge of computer software and practice management databases is essential.
