DESCRIPTION

Department of Pediatrics is one of the largest departments within the UCSD School of Medicine with comprehensive clinical programs, extensive basic science and clinical research, and diverse educational opportunities for students, residents and fellows. The internationally renowned faculty play a major role in medical and graduate student training, providing educational and programmatic offerings that span several disciplines, and provide diversity to meet the interests of a broad spectrum of students and scholars. More than one hundred trainees at the graduate student and postdoctoral level, as well as more than 300 professional, research and administrative staff who along with the department administrators interact closely with the faculty. Under the general supervision of the Director of Administrative Operations, the Training Grant and Business Office Administrator provides programmatic support to PIs/Training Grant Directors and the Pediatrics Business Office. The incumbent will receive work direction from the Director of Administrative Operations and assigned PIs/Training Grant Directors. They will serve as the main contact for the Pediatrics Business Office, interacting with academic, clinical, and research components using independent judgment to effectively communicate information via phone, in person, or in writing. Responsibilities include independently analyzing, organizing, and prioritizing daily activities, including coordinating meetings (both on and offsite), managing travel arrangements, and processing expense reimbursements. Special projects will be assigned as needed.

The incumbent will gather data, compile charts/tables, and review policy/processes/guidelines in support of developing new Training Grant proposals and renewal applications for the NIH. This includes complex T32 and K12 proposals, involving data table preparation, storing and maintaining required documents and materials, and becoming familiar with UCSD and federal processes. The incumbent will also assist in collecting all necessary documents (e.g. biosketches and training histories) from faculty mentors listed in grant proposals. The incumbent will also be involved in collecting and uploading all needed documents for xTRAIN and annual NIH reports/RPPRs. They will act as a liaison between PIs/Training Grant Directors, Sponsored Projects team, central UCSD offices, and external federal NIH offices to ensure timely proposal submissions.

MINIMUM QUALIFICATIONS
  • Six (6) years of related experience, education/training, OR a Bachelor's degree in related area plus two (2) years of related experience/training.
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Solid skills in problem identification.
  • Knowledge of federal regulations such as FERPA.
  • Experience with coordinating and managing recruitment visits, including scheduling interviews, organizing itineraries, booking travel arrangements, and escorting candidates on and off campus.
  • Experience with planning and managing events in a large academic/medical setting, including providing day-of logistical support and troubleshooting.
  • Proficiency in external systems: NIH eRA Commons, NIH ASSIST, EditorialManager, PubMed, Qualtrics, DocuSign, Adobe Acrobat Sign, Doodle, Calendly, Zoom, WebEx, publications portals, nominations portals.
  • Experience working in administrative role in an academic medical Department in a University setting.

  • Proficiency in internal UCSD systems: UCPath, Concur Travel & Expense, Oracle Procurement, Oracle Financials, , Academic Resource Center, Health Human Resources (HHR), Outside Activity Tracking System (OATS), EmployeeLink, EcoTime, Business Activity Hub.

Pay Transparency Act

Annual Full Pay Range: $63,580 - $98,282 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.45 - $47.07
