GENERAL DESCRIPTION

Our mission at the Texas Department of Motor Vehicles (TxDMV) is to serve, protect and advance the citizens and industries in the state with quality motor vehicle related services. We are a dynamic state agency dedicated to customer service, consumer protection and the success of motor vehicle-related industries.

Performs advanced administrative support and technical program assistance work in support of the Texas Department of Motor Vehicles (TxDMV), Enforcement Division. Reports to a section supervisor and assists division and agency customers. Coordinates administrative activities for the assigned unit, various projects, and specialized programs. Work involves some confidential correspondence and communications. Work requires contact with middle and high-level managers and private entities. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

ESSENTIAL DUTIES

• Provides administrative support and maintains a close and highly responsive relationship to the day-to-day activities of assigned supervisors and section staff.

• Establishes priorities and makes assignments in support of the assigned section.

• Research legal, technical and/or policy issues and organizes, coordinates, and prepares written or statistical reports.

• Coordinates activities, tracks the progress of projects, specialized programs, and section tasks. Inform division management of status and next steps needed.

• Independently handles a wide variety of situations that often cannot be brought to the immediate attention of a supervisor.

• Answers the telephone, evaluates requests, answers questions and/or routes messages and screens visitors.

• Composes and prepares correspondence and applicable recurring or special one-time reports requiring an understanding of program activities, technical matters and/or confidential and sensitive communications.

• Reviews correspondence and reports drafted by others. Provides feedback and escalates issues.

• Monitors and maintains suspense logs, records, and various division files.

• Assists in responding to Public Information Act requests.

• Receives, sorts, opens, evaluates content, and distributes mail as required may drive to deliver/pick up confidential or time sensitive correspondence.

• Reviews and processes records of completed projects.

• Assists in the development and preparation of special reports.

• Trains other clerical or technical staff.

• Provides assistance to the public.

• Uses database, spreadsheet, or graphics software applications to prepare complex statistical reports and/or presentations and verify accuracy and completeness.

• Assists others in the use of personal computer or mainframe system applications.

• Performs technical writing as required in addition to proofreading duties.

• Travels up to 10% of the time. Travel by car (may include flying). May include overnight travel. May require working extended hours and some evenings and weekends, as needed.

• Required to attend work regularly and adhere to approved work hours in accordance with department policies and procedures.

• Performs other job-related duties as assigned.

Qualifications:

EDUCATION AND EXPERIENCE

• Graduation from high school or equivalent.

• Must have five (5) years progressively responsible clerical, secretarial or administrative support and expertise in Word, Adobe, and Excel Software.

• Experience and education may be substituted for one another (Experience requirements may be satisfied by full-time experience or the prorated part-time equivalent).

QUALIFIED EMPLOYER

In addition, the Texas Department of Motor Vehicles is considered a qualified employer for the Department of Education's Public Student Loan Forgiveness (PSLF) program.

REGISTRATION, CERTIFICATION AND/OR LICENSURE

A valid Class "C" driver's license is required. If not currently a Texas resident, must obtain a Texas Driver's License within 90 days after entering Texas as a new resident. A satisfactory driving record is required for operating state or personal vehicles to conduct department business.
