Role Overview:

Event Planning

• Coordinate all aspects of program events, including conferences, seminars, workshops, retreats, and networking events.

• Manage event logistics such as registration, venue selection, catering, transportation, audiovisual requirements, and guest accommodations.

• Develop event agendas and ensure smooth execution, managing timelines and schedules effectively.

• Collaborate with guest speakers, facilitators, and vendors to ensure the quality and success of events.

• Travel to various parts of West Tennessee to coordinate and facilitate conference planning meetings.

Alumni Relation

• Cultivate and maintain relationships with program alumni, fostering a strong sense of community and engagement.

• Plan and execute alumni events, reunions, and networking opportunities to facilitate ongoing connections and collaboration.

• Regularly communicate with alumni through newsletters, emails, and social media updates to keep them informed about program developments and opportunities.

• Gather feedback from alumni to continuously improve the program and tailor offerings to their needs and interests.

• Travel to various parts of West Tennessee to coordinate and facilitate alumni meetings.

• Retain and update alumni association memberships, including lifetime members.

Marketing/Social Media

• Develop and implement marketing strategies to promote the program and attract qualified applicants.

• Manage the program's social media presence across platforms such as LinkedIn, Twitter, Facebook, and Instagram, creating engaging content and fostering online engagement.

• Create and distribute promotional materials, including brochures, flyers, and digital assets.

• Maintain the WestStar App

• Collaborate with the university relations to ensure consistent branding and messaging across all channels.

• Monitor and analyze social media metrics to track performance and identify opportunities for improvement.

Responsibilities shall include all other duties as assigned.

Qualifications:

Qualifications:

• High School diploma and four years of experience in office management, event planning, or communications. Bachelor's degree preferred.

• Proven experience in event planning and management, preferably in a leadership development or educational context.

• Strong interpersonal skills with the ability to build and maintain relationships with diverse stakeholders, including program participants, alumni, and external partners.

• Excellent written and verbal communication skills, with experience in crafting compelling marketing copy and engaging social media content.

• Proficiency in project management tools and platforms, as well as Microsoft Office suite and social media management tools.

• Knowledge with FileMaker Pro, PerfectForms, GoogleForms, Survey Pro, MarketPlace, Virtual Platforms, and Mail Chimp.

• Creative thinker with a strategic mindset and a passion for leadership development and community engagement.
