Job Summary:
The Administrative Assistant II provides advanced administrative and clerical skills to support the department. The position exercises appreciable independent judgment in coordinating the details of the office.
Major Responsibilities / Duties / Critical Tasks:
• Provide budget and financial support including but not limited to reimbursements, purchasing, and travel.
• Complete monthly account reconciliations.
• Make travel arrangements and reservations.
• Responsible for managing contracts.
• Handle confidential information and sensitive issues requiring discretion.
• Maintain appointment calendar and schedule appointments.
• Maintain office filling system and/or databases.
• Order and maintain supplies.
• Update the departmental website for currency and accuracy of the information.
• Perform an annual inventory of supplies and equipment.
• Other duties as assigned.

• Advanced proficiency using computers and office software packages.
• Working knowledge of databases.
• Must exercise confidentiality and discretion at all times.
• Ability to use appreciable independent judgment in coordinating the details of the Department of Public Health.
• Consistently portray excellent interpersonal and communication skills.
• Demonstrated professional demeanor and appearance.
• Advanced organizational and professional skills leading to successful and timely task completion.
Qualifications
Required Education / Experience:
• High School Diploma or equivalent.
• Five (5) years of experience in an executive or professional office setting, preferably in higher education.
PREFERRED EDUCATION/EXPERIENCE
• College degree.
• Three (3) years of experience in business account reconciliation and budget control.
• Demonstrated proficiency with MS Excel, Word and Outlook and experience with different accounting systems.
