This position will be embedded at the client office in the Right of Way Department with the following duties:

Assist the Department by carrying out the Secretary/Clerical Field tasks associated with the operation of the Right-of-Way Program,

  • Provide Customer Service to internal and external customers by greeting and assisting walk-­in, guiding and/or directing customers to the appropriate parties,
  • Answer telephone and gives information to callers, routing calls to appropriate individuals, taking messages and sending them via e-mail.
  • Maintain file system, correspondence, meeting minutes, personnel actions, and other related documents,
  • Maintain needed stock of office supplies by checking supply levels and determine staff needs. Perform other related duties as assigned,
  • Assist the Right of Way office in procuring and processing payments for goods and services utilized by the Right of Way office, ensuring compliance with purchasing procedures. Coordinate activities to verify required documentation is collected and maintained for auditing purposes. Provide support as necessary for other procurement activities,
  • Coordinate meetings, video conferences, teleconferences, reserve conference room and video equipment, reserve teleconference bridge, send invitations to attendees, maintain electronic calendars
  • Assist the Right of Way office by utilizing the Right of Way Management System (RWMS) to process a variety of highly technical invoices relating to phases of acquisition through the eminent domain process,
  • Assist the Right of Way office in the coordination and input of RWMS data. Provide additional RWMS support to Right of Way consultants and staff,
  • Assist Contract Administration in assembling documents for Right of Way contracts, supplements and amendments to contracts and contract closeout for submittal to the Professional Services Unit (PSU). Provide administrative support for Management Services contracts,
  • Provide day to day maintenance of the Records Management project/parcel files ensuring compliance as set forth by State and Federal procedures. Provide agency-wide research and technical assistance on routine, complex and obsolete records management problems. Maintain and update off-site storage inventory as required. Maintain file and equipment check-out and return records. Process and distribute incoming mail for the Right of Way office on a rotating basis,


Preferred Qualifications

  • Associate degree
  • Knowledgeable with policies and procedure; skilled at the use of current office equipment, computers, and proficient at an intermediate level in current versions of Microsoft Word, Outlook, Excel; skills at composing various types of professional correspondence and documents; knowledgeable and skilled at planning, analyzing and thinking independently; knowledgeable of the correct use of English grammar in communicating spoken and written business product to public, work contracts and co­workers.

Required Qualifications

  • High School diploma or equivalent
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • Proficiency with MS Office including Word and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
