Our Commercial Facility Maintenace team is looking for an Administrate Assistant that is adaptable, driven who desires to be part of a dynamic team with company values centered around teamwork, ownership, and professionalism.
General Responsibilities:Responsible for providing a wide variety of administrative support services to assigned Group, Division or Department (these may include Administrative Services, Business Development, Preconstruction, Estimating, Construction/Project Management or others); performing various secretarial and clerical duties, e.g., typing, copying, preparing and filing correspondence, memos, etc.; completing or assisting in the preparation of reports and presentations; maintaining various records and information in databases; supporting professional and positive relations with company clients; receiving and/or processing confidential information; completing special projects; communicating and collaborating with members of management and staff throughout the company; supporting and adhering to all company core values, operating and regulatory compliance-focused policies and practices.
Essential Duties:
  • Provides various administrative support services to assigned Group, Division or Department by performing a wide variety of duties.
  • Fulfills all requirements of the position relating to maintaining accurate, complete and organized records; provides a wide variety of reports to appropriate parties, as requested and required; assists in supporting presentations to various groups, as needed.
  • Actively supports communications and relationship building activities with clients and prospective clients; assists in building client trust and confidence by exhibiting professional, competent and friendly image.
  • Proactively, professionally and with a team-focused attitude collaborates and communicates with members of management and team members throughout the company to integrate activities and achieve goals.
  • Supports and, as appropriate, actively participates in industry and outside groups and events, in order to project a positive image of M-K.
  • Supports the adherence to all internal policies, procedures, and practices in support of the company's core values and commitment to a safe working environment.
  • Responds to inquiries or requests relating to his/her particular area within given time frames and within established policy.
  • Specific work duties:
  • Accept and update work orders in program, internal work orders and support invoices process for final approval.
  • Other related duties as assigned or directed.
Knowledge, Skills and Abilities:Proficient reading, writing, and grammar skills; proficient interpersonal relations and communications skills; proficient analytical skills and an orientation toward thoroughly completing multiple tasks and duties; functional understanding of administrative support processes and responsibilities relating to the function to which the incumbent is assigned, e.g., administrative services, estimating, project management, etc.; proficient ability to utilize all of the Microsoft Office Suite of programs and exceptional typing abilities; capability to handle multiple activities and details simultaneously and a drive to achieve and produce results on time; collaborative and generative attitudes and abilities toward working as part of a team; visual and auditory skills; valid driver's license.
Education/Experience:
  • High school graduate or equivalent
  • A minimum of 1 to 2 years' experience in general administrative or office support positions.

  • Work Environment: Work environment is primarily within office settings. However, some travel may be required to support administrative services, attend various events, make deliveries or pick up various items, etc. May include some minor work outside of normal business hours.
