Job Summary
The University of Michigan Museum of Art (UMMA) seeks a temporary Administrative Assistant for the University Learning and Programs Department. This is a temporary part-time position that will end December 20th. This unique opportunity will appeal to candidates who thrive in a cohesive, team-based environment, and who are excited by the possibilities of working in a large, research-based university. The Administrative Assistant will work with faculty and instructors to arrange class visits to UMMA's exhibitions and collections. They will use a combination of scheduling tools, including Asana and Google Calendar and communicate regularly with university faculty and the UMMA University Learning instructional team to administer the program?s visit schedule. This position is supervised by the Curator of University Learning and Programs under the general direction and supervision of the Deputy Director for Public Experience and Learning.
Additionally, the Administrative Assistant will play a pivotal role in ensuring the smooth operation of the department by managing and coordinating multiple schedules and assistance with planning and implementation of public programs and events. This will include staffing events and programs on some evenings and weekends. This role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

* 2 or more years experience in administrative support positions, especially those requiring scheduling for a fast-paced, high-demand volume of requests.
* Able to communicate and work with all levels of constituents effectively, while operating in a fast-paced, customer-service environment.
* Able to work independently and as a team member.
* Can set priorities and adapt as these priorities shift, handle multiple assignments and deadlines, and display excellent judgment, while operating in a flexible and professional manner.
* Demonstrated ability to handle details, including follow-up, for multiple ongoing projects. Exercises discretion when dealing with highly sensitive or confidential information.
* Must have excellent written and verbal interpersonal and communication skills.
* Must be proactive and a self-starter.

Responsibilities*
- Manage the touring and study room schedule for UM class visits, including scheduling security, rooms, catering and/or other items as needed.
- Communicate with faculty/instructors to arrange class visits to UMMA; assist with general outreach to faculty and instructors.
- Maintain and oversee the event management system for departmental programs including University Learning Programs; track and manage planning timeline.
- Support a positive visitor experience while addressing Museum protocols and guidelines; build positive relationships and work with a broad range of community and campus collaborators.
- As needed:
* Arrange travel and accommodations for program participants.
* Convene planning meetings with relevant UMMA staff and external partners.
* Serve as on-site UMMA staff lead during events, including on some evenings and weekends.
* Advance production needs for all department programs including securing A/V and tech support, hiring vendors, equipment rental, creating and coordinating delivery & set up schedules, coordinating additional staffing for events when needed, and ordering supplies.
