Summary

The Assistant Coordinator, Business Operations will report directly to the department's Associate Administrator. The Assistant Coordinator provides administrative support to the Office of Advancement and Alumni Affairs. This includes entry level support tasks for various members of the department as needed.

Job Duties

  • Sits at front desk and greets guests, interviewees, and donors. This may include going down to the 9th floor main lobby to escort guest to the 11th floor office.
  • Submits reservations for the Phoenix Tower 1st floor conference room.
  • Provides telephone coverage for Office of Advancement and Alumni Affairs' main line. This coverage may include routing calls, answering inquiries, directing gifts, sharing event details, and taking messages.
  • Assists in event registrations received over the phone.
  • Retrieves mail from 1st floor USPS box as well as sort it along with inter-campus mail deliveries.
  • Submits work orders via the building and BCM request systems.
  • Provides data entry assistance in donor database and other department systems.
  • Assists in catering orders for donor & guest onsite visits.
  • Participates in various department digitizing projects as needed.
  • Prints and mails daily gift receipts.
  • Opens mail and scanning, documents gifts received for the daily gift log.
  • Provides back up support/coverage as needed for fellow administrative support staff.
  • Provides back up support for placing supply orders.
  • Keeps supply inventory and notifies team when additional supplies are needed.
  • Performs other duties as assigned.


Minimum Qualifications

  • High School diploma or GED.


Preferred Qualifications

  • Experience supporting a fast-paced team.
  • Strong written and verbal communication skills as this role will require a lot of internal/external communications.
  • Ability to exhibit good judgment when handling sensitive donor information.
