Summary

The Pulmonary, Critical Care, and Sleep Medicine section in the Department of Medicine is recruiting a Senior Business Operations Coordinator to provide administrative support to the Section Chief, Section leadership, and research faculty. This position is responsible for administrative support including but not limited to calendar management, processing reimbursements, booking travel, managing CME budgets, credentialing, payroll questions, physician productivity, procurement, and other general administrative needs.

Job Duties

  • Effectively manages the day-to-day scheduling of meetings and calendar for Section Chief.
  • Prepares and processes documents necessary for purchasing orders and supplies for section.
  • Manages expense reimbursements for Chief and other faculty leaders via Concur and monitor financial activity by compiling, reviewing, and reconciling financial accounts.
  • Works with section administrator to ensure appropriate FAB is available for purchases and travel by reviewing expenditures from fund sources to verify accuracy, need, and compliance
  • Submits budget revisions.
  • Submits work orders for service and facilities requests.
  • Prepares presentations for and coordinate department meetings, events, retreats, and other functions.
  • Prepares Section Annual Report and review with Chief and Section Administrator
  • Serves as Section Website liaison to ensure web content is updated.
  • Processes supplemental pay.
  • Assists with new provider credentialing and manage faculty reappointments and renewals.
  • Assists with preparing visa requests for international recruits.
  • Provides additional support to faculty as needed.
  • Manages faculty and trainee reappointments and renewals.
  • Monitors financial activity by compiling, reviewing, and reconciling financial accounts.
  • Reviews expenditures from fund sources to verify accuracy, need, and compliance.
  • Assists with credentialing and onboarding faculty and staff.
  • Works independently and proactively to create favorable workflows.
  • Sends out section-wide high-level announcements and other communications on behalf of Section Chief and Section Administrator.
  • Performs other duties as assigned.


Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.


Preferred Qualifications

  • Bachelor's Degree.
  • Previous administrative experience.
  • Proficiency in Microsoft Office Suite.
