PRIMARY FUNCTION :

Under the supervision of the Executive Director of Financial Aid, the Senior Associate Director of Academic and Financial Services is responsible for providing strong financial aid/debt management counseling, advisement and education with specific focus on medical students. The Senior Associate Director will update and enhance debt management programming and develop new pathways for financial education curricula.

The Senior Associate Director is responsible for overseeing federal, state and university compliance regulations for all financial aid programs. assisting with the preparation of reports required by internal departments and external agencies. Responsibilities include packaging, awarding, and personal counseling of students, with a specific focus of medical students. As a part of the financial aid team, this individual will support and contribute to office operations and processes and provide guidance and leadership to all staff in the financial aid office, academic services, and other related departments.

ESSENTIAL FUNCTIONS:

  • Develops and delivers targeted educational programming to students on budgeting, debt management, general money education, and ways to manage expenses associated with specific academic programs. This includes, but is not limited to, the Spring Seminar Series and exit counseling.
  • Awards student financial aid based on information/data on applications, documentation and need analysis reviews. Exercises professional judgment when needed in calculating financial aid awards based on packaging parameters. Institutes timelines for student application communication and other messaging.
  • Assists the Executive Director of Financial Aid and collaborates with the Assistant Directors of Academic and Financial Services regarding the implementation of and adherence to policies, procedures, programs, compliance and initiatives. Ensures the procedures manual is maintained and up to date.
  • Assists the Executive Director of Academic and Financial Services in organizing and leading the Uniform Guidance/A133 process, federal and state program reviews, and audits. These also include but are not limited to the FISAP, LCME Part 1B, LCME Tuition and Fee Questionnaire, and HRSA AOR report. Drafts responses to inquiries and assists with the implementation of recommendations. Serves as a secondary contact for federal, state and internal auditors, program reviewers and others.
  • Makes recommendations for the development and implementation of short and long range plans.
  • Interacts with co-workers, visitors and other staff consistent with the values of Jefferson.


OTHER FUNCTIONS AND COMPETENCIES:
  • Participates in providing data/reports to campus partners, including Finance and Institutional Advancement. Provides college level support for grant submissions and the completion of external surveys such as the USNWR.
  • Oversees processes including but not limited to the Return of Title IV Funds, Federal Verification, and Federal Work Study.
  • Assists in the development and implementation of policies and procedures as well as the maintenance of regulatory compliance.
  • Serves as the department's head and representative in the absence of the Executive Director
  • Attends professional conferences as deemed necessary by the Executive Director of Financial Aid.
  • Performs Ad Hoc tasks as deemed necessary by the Executive Director of Financial Aid.
  • Assist with the periodic examination of operations and procedures, formulating policy recommendations and developing and implementing new strategies.
  • Ensure proper procedures are followed concerning data management and confidentiality adhering to FERPA, federal regulations and institutional policies.
  • Support the routine review of the department's website content assuring accurate and up-to-date information.

Qualifications

EDUCATIONAL/TRAINING REQUIREMENTS :

Bachelor's Degree required.



CERTIFICATES, LICENSES, AND REGISTRATION :

Financial Literacy Certification a plus.



EXPERIENCE REQUIREMENTS :

3 + years of financial aid/financial education administration experience. Prior supervisory experience required.



ADDITIONAL INFORMATION :

Strong computer skills particularly MS Window-based office applications.

Strong public speaking experience

Expertise in the Ellucian Banner or other comparable student financial aid system.

Knowledge of NSLDS functionality.

Thorough knowledge of federal financial aid regulations.
