Responsibilities

This position is a key part of the department leadership and is responsible for management of the administrative direction and coordination of staff and activities of the Planning, Design & Construction department.
  • Provides guidance and direction to all department staff, campus customers and department vendors regarding administrative services and programs applicable to the department.
  • This includes administering policies and procedures related to university, state and federal compliance related to delivery of projects. Policies include but are not limited to indefinite quantity contracts, design standards, standard operating procedures, etc
  • Ensures the most effective operations of the department through program development, process improvement, and coordination/integration of processes with other departments included but not limited to Procurement Services, Facilities, Budget Office, Controllers Office, etc.
  • Oversees administrative staff for department including strategic planning, staffing decisions, scheduling and other key areas. Oversees reporting requirements for department ensuring department compliance with deadlines.
  • Conducts research as appropriate for projects or initiatives ensuring compliance; including GMP reviews, purchase order reviews, contract reviews, invoice reviews, etc.
  • Facilitates communication to outside vendors working with department, ensuring clarity of process and procedures for conducting business. Developing and conducting annual meetings with vendors (in person or virtually) to obtain feedback and ensure understanding of process and procedures for projects.

Qualifications

  • Bachelor's degree and four years experience related to facilities and/or grounds services or a high school diploma or equivalent and eight years of experience. (Note: or a combination of post high school education and experience equal to eight years.)
  • Possession of a valid Florida or Georgia Class E Driver's License, or the ability to obtain prior to hire.

  • Knowledge of the concept, principles and practices of management.
  • Ability to train and supervise employees.
  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
  • Knowledge of the principles and practices of project planning, development, and evaluation.
