General Summary:

Responsible for providing support to the Board and Director of Board Support. Under limited supervision, provides administrative and clerical services to DART Board of Directors and subcommittees.

Essential Duties and Responsibilities:
  • Records, transcribes and edits Committee and Board meeting minutes, planners, calendars, etc.
  • Provides administrative support including assisting in coordinating efforts of departmental staff ensuring minimal overlap, following up on work, preparing and proofing Agendas, Agenda Planner, Resolutions and Rollovers for Board Packets etc.
  • Maintains calendars of activities, Board attendance, meetings and various events; coordinates activities within DART, the public and outside agencies.
  • Screens office and telephone callers; responds to complaints and requests for information on regulations, procedures, systems and precedents relating to assigned responsibilities; receives and distributes incoming mail.
  • Responds to Open Records Requests, Files and Archives department records per agency record retention policy.
  • Serves as a technical resource to Board Support. Coordinate with the Technology Department to facilitate the introduction of new technology and relay information to the Board and OBS Staff. Offer training to OBS staff and Board Members for new equipment and software. Perform troubleshooting when issues arise for both Board Members and OBS Staff. Makes recommendation for upgrades of software and hardware.
  • Training of new Agenda Coordinators in the proper process, provide refresher training for existing Agenda Coordinators, and troubleshooting issues that arise within the Agenda Workflow.
  • Work with Records Management Officer (RMO) in attending trainings relating to Records Management, train new Records Management Liaisons,
  • Serves as backup to Board Support Specialist and Board/Committee Secretary during absence.


Minimum Knowledge, Skills, and Abilities Required:

Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.
  • Bachelor's degree from an accredited college or university in Business Administration, Public Administration or related field.
  • Three (3) general office management experience as evidenced through knowledge of office procedures, strong organizational and administrative skills.
  • Bilingual preferred.
  • Ability to demonstrate excellent written, verbal and communication skills.
  • Ability to effectively communicate with all levels, both inside and outside of DART.
  • Proficiency with personal computer (PC) and software applications such as Windows, word processing, spreadsheet, data base; typical office equipment such as scanning equipment, copier, calculator, typewriter, facsimile, etc.
  • Is dedicated to meeting the expectations and requirements of internal and external customers. Establishes and maintains effective relationships with customers and gains their trust and respect.
  • Ability to marshal resources (people, funding, material, support) to accomplish task at hand. Can orchestrate multiple activities at once to accomplish a goal.
  • Ability to use time effectively and efficiently. Concentrates his/her efforts on the more important priorities.
  • Enjoys working hard. Is action oriented and full of energy for the things he/she sees as challenging.
  • Ability to use rigorous logic and methods to solve difficult problems with effective solutions.


Working Conditions:

Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
