Why does the job exist?

This position is responsible for providing support to Bureau Management to ensure that state and federal rules, grant requirements, and guidelines are met for programmatic operations.

How does it get done?

- Coordinate administrative actions that lead to maintenance of inspection processes
- Work with Compliance Officers and technical personnel on the status of case files, including abatement actions
- Track and log incoming contests of citations and assist bureau management in scheduling administrative reviews
- Monitor the completion of complaints and referrals and organize the high hazard listing provided by Federal OSHA in preparation of making assignments for OHSB Compliance Officers
- Prepare and file documents with the Occupational Health and Safety Review Commission (OHSRC)
- Receive, log, and transfer citation payments, and notify the NMED Financial Services Bureau
- Record the payments in the Federal Occupational Safety and Health Administration (OSHA) Information System (OIS)
- Implement required administrative actions necessary to fulfill the Bureau's Strategic Plan and Annual Performance Plan as relates to the Compliance and Enforcement Section
- Assist in the implementation of administrative policies, procedures, and guidelines at the Program level
- Send, and receive correspondence related to programmed and unprogrammed activities for OHSB Compliance and Enforcement processes
- Maintain employee complaint and referral files
- Provide service to the Regulated Community by reminding employers of pending cut-off dates for requested actions when appropriate
- Ensure the orderly retrieval of case files to produce an assignment for a follow up inspection or to fulfill a request for information from the public
- Offer back-up assistance to the OHSB Office and Administrative Support position, as needed
- Close case files in OIS and prepare for storage

- Occasional contact with external Federal, State and Local regulatory bodies to include contractors, and environmental not for profit organizations.

Ideal Candidate

The ideal candidate will have experience in the following:
- Working with Federal Regulations, State Statutes, and/or New Mexico Administrative Code (NMAC)
- Utilizing Microsoft Office Suite with proficiency
- Being fluent in both English and Spanish
- Communicating effectively and professionally (both in writing and speaking)

Minimum Qualification

High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management. Substitutions Apply. See Substitution Table below.

Employment Requirements

Must possess and maintain a valid New Mexico Driver's License. Must possess and maintain a current Defensive Driving Course certificate from the State of New Mexico or must pass and receive a Defensive Driving Course certificate as a condition of continued employment.

Working Conditions

Work is performed in a office setting with exposure to Visual/Video Display terminal (VDT) and extensive personal computer and telephone usage. Some sitting, standing, bending and reaching may be required. In-state and out of state travel may be required.
