Salary Plan/Grade:

Construction Recordkeeper I: $32,439 - $49,388

Construction Recordkeeper II: $35,976 - $55,045

Construction Recordkeeper III: $39,976 - $61,399

Construction Recordkeeper IV: $45,244 - $72,408

Position Description

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws; determines payments due contractor for work completed; maintains liaison with construction inspectors and contractor's staff and trains others. Work requires contact with the public. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

  • Maintains liaison with construction inspectors and contractor's staff to ensure project records accurately reflect changes and agreements.
  • Attends pre-construction meeting to instruct contractor's bookkeeper on record-keeping procedures
  • Trains less experienced employees
  • May serve as a lead worker or project leader.
  • Monitors contractors' compliance with federal requirements related to Equal Employment Opportunity and wages.
  • Monitors on-the-job training program and Disadvantaged Business Enterprise and Small Business Enterprise programs; submits required monthly reports.
  • Prepares and submits monthly and final estimates; checks calculations against work log and estimate form to verify work is completed before payment is made.
  • Composes correspondence, reports and supporting documents; files; orders supplies and equipment.
  • Processes change orders, supplemental agreements, and extra work orders.
  • Maintains filing structure for each construction project within assigned area.


Minimum Qualifications:

Education: High School Grad or Equivalent in general high school studies.

Experience:

Construction Recordkeeper I: None

Construction Recordkeeper II: 1 year Record-keeping, bookkeeping, or other related experience.

Construction Recordkeeper III: 2 years Record-keeping, bookkeeping, or other related experience.

Construction Recordkeeper IV: 4 years construction record keeping, accounting.

(Experience can be satisfied by fulltime or prorated part-time equivalent).

Related college education or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

Licenses and Certifications:

  • Valid driver's license. This position requires driving a state vehicle.


Competencies:

  • Analyzing issues, facts, and available information to develop logical solutions; researching inconsistencies of facts or data; drawing correct inferences from information and making recommendations that support business decisions
  • DBE, HUB, SBE
  • Performing calculations using algebra, trigonometry, and geometry
  • Using standard office equipment
  • Preparing and maintaining confidential and sensitive records, files, and reports
  • Communicating technical information effectively
  • Using computers and applicable programs, applications, and systems
  • Maintaining a safe and effective working relationship with others
  • Leading, assigning, reviewing, and monitoring the work of others
  • Writing, reviewing, and revising documents to include engineering notes, specifications, standards and procedures


Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
