DESCRIPTION

Under general supervision of the Director of the Center for Student Involvement (CSI), the CSI Office & Project Coordinator is responsible for the daily operational oversight of an office that engages students in campus life and provide opportunities for personal and professional development. The incumbent serves as the primary contact for the department, and as a liaison between student leaders, department staff, campus departments and community members. Provides a full range of project management and administrative assistance for the Center for Student Involvement. Provides information to students about applicable policies and procedures, campus resources and opportunities. Provides administrative and logistical coordination of departmental programs and events.

Serves as a primary coordinator for a number of CSI programs, events and services, including all outreach and promotional events, coordination of departmental events including an annual CSI Awards process and celebration, production of Get Involved Magazine and project management for other promotional materials. Develops and maintains large scale department websites using an electronic content management system. Oversees and maintains department databases and electronic communications with student organizations, all registered students, and University departments and staff.

Office management responsibilities include: providing high quality reception services for a diverse population in a fast-paced working environment with frequent interruptions; maintaining confidentiality; coordinating staff and departmental program calendars, arranging meetings, ordering office supplies, serving as key operator for all office equipment, and other administrative tasks as needed. Recruits, selects, trains, supervises and evaluates student assistants as requested. Plays a central role in the planning and implementation of both short- and long-range administrative goals and objectives to effect overall programmatic and operational improvements.

QUALIFICATIONS
  1. Administrative experience in an office environment providing administrative support to multiple staff members.
  2. Administrative Skills Strong leadership skills including organizational, problem-solving, negotiation, decision making, research and analysis, interpersonal and motivational skills.
  3. Ability to manage multiple complex projects simultaneously, independently determining priorities and steps to completion.
  4. Ability to coordinate administrative activities by determining time, place and sequence of actions to be taken.
  5. Demonstrated experience in providing work direction and oversight to student or entry-level employees.
  6. Experience with graphic design software, layout and design software (Adobe Suite, Photoshop, Illustrator, Indesign, Microsoft suite, FTP Web Software, Acrobat reader)
  7. Experience with creating and editing documents in word processing applications
  8. Experience in creating spreadsheets and reports using appropriate software applications
  9. Experience in databases and spreadsheets
  10. Knowledge to export/import data from or to different software applications
  11. Experience in updating and maintaining simple or moderately complex databases
  12. Operating knowledge of the internet for data gathering purposes
  13. Proven ability to exercise tact, resourcefulness, good judgment, understanding and persuasion in interacting with a diverse population. Experience in working collaboratively to arrive at mutually beneficial decisions, conclusions or solutions. Demonstrated knowledge of basic human development, with an emphasis on higher education students.
  14. Demonstrated knowledge of basic communication, marketing and promotional principles and practices.
  15. Demonstrated experience with graphic design and layout software.
  16. Demonstrated experience in working successfully in a busy, service-oriented environment with frequent interruptions, varied work assignments, and fluctuating priorities, while meeting multiple deadlines.
  17. Experience in accurate record keeping, with strict attention to detail.
  18. Ability to organize tasks, documents, and materials with efficiency and accuracy.
  19. Ability to set objectives and timelines, ensure teamwork and cooperation, and delegate projects, while demonstrating cultural sensitivity, knowledge of student development, and the ability to communicate in an open and effective manner.
  20. Advanced writing ability to independently compose letters, memos, and other correspondence, subject to review by supervisor, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills. Ability to write concise, logical, and grammatically correct analytical reports and documents.
  21. Knowledge of marketing and advertising principles and practices.
  22. Knowledge to add, subtract, multiply, and divide whole numbers, fractions, and decimals.
  23. Knowledge to compute rations, rates, and percentages
  24. Ability to effectively select, hire, delegate, train, supervise, motivate and evaluate students and volunteer personnel. Ability to invite information, constructive criticism and collaboration from others. Ability to listen, anticipate, and respond to the needs of customers to achieve excellent customer service.
  25. Ability to interact diplomatically with a diverse public in a high-volume, continuous public contact setting. Ability to assume the customer's perspective and maintain a commitment to excellence in customer service.
  26. Demonstrated experience, within a customer service-oriented environment, to respond to and meet the needs of the customer.
  27. Ability to effectively work individually, as a team member, and with diverse groups. Ability to maintain confidentiality.

  • Mandated Reporter: This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18. It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.
Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
