The Executive Assistant position is responsible for providing administrative support primarily for the CDO/SVP and the Vice President of Development. The person is a key member of a dynamic team focused on handling high level activities in a complex environment.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CDO and Vice President
  • Works closely with leadership to manage high level internal and external relationships. Interacts directly with donors and other constituents, demonstrating good judgment and discretion and representing BWH Development with the highest degree of excellence.
  • Responsible for managing all communication between the Development Office and the Office of the President, including scheduling meetings, coordinating correspondence and gift agreements, and ensuring the President is prepared for all Development related activity.
  • Documents and drives follow-up activities.
  • Writes, proofreads, edits, and reviews correspondence and other written materials upon request and interprets information necessary to draft responses as needed.
  • Handles all telephone inquiries, screening and directing as appropriate, and reviewing incoming correspondence and documents.
  • Manages calendars and assists in preparing for appointments, meetings, and presentations by anticipating, coordinating, reviewing, and organizing related materials including presentations.
  • Establishes routines and processes as needed to simplify recurring work and to create efficiencies.
  • Prepares itineraries, biographies, briefings, agendas, reports, and presentations as needed.
  • Handles sensitive and confidential information.
  • Updates information in fundraising database including biographical information, fund designation, receipts, and acknowledgments as appropriate, producing queries, reports, and mail merges.
  • Organizes senior leadership meetings for development leadership and monthly all staff meetings.
  • Processes expense reports and reimbursements.
  • Plans and leads a monthly meeting of 20+ support staff.
  • Performs other duties as assigned.


Qualifications

QUALIFICATIONS:

  • 2+- years development experience preferred or related experience.
  • High School Degree or equivalent
  • Excellent written and oral communication skills with strong proofreading ability.
  • Superb organizational skills with meticulous attention to detail.
  • Excellent computer literacy and word processing skills using Microsoft Products.
