Airswift has been tasked by one of our key clients to seek a Office Manager to join them on 6+months contract near Barstow, TX.

Responsabilities
  • Collaborate with management to identify areas for improvement and implement best practices.
  • Coordinate and support administrative functions for various departments, ensuring efficient workflow.
  • Oversee office building and company housing facility maintenance and janitorial vendors, ensuring that the environment is clean, safe, and well-maintained.
  • Collaborate with other employees and vendor personnel to address any facility-related issues promptly and efficiently.
  • Organizes and coordinates administrative duties to include, but not limited to, answering calls, taking supply orders, and organizing field meetings. Implement and maintain office policies and procedures to enhance operational efficiency.
  • Creates a professional work environment ensuring an elevated level of organizational effectiveness, communication, and safety.
  • Works with HR and IT departments to coordinate new hires, orientation, benefits, and time sheet submission for field employees.
  • Reviews and compiles information and data into reports and presentations using Excel, Word, and Power Point.
  • Processes invoices for payment using Open Ticket and Open Invoice.
  • Responsible for ordering fuel cards and issuing pins to team members; maintaining maintenance reports; and scheduling maintenance for vehicles including drop off and pick up.
  • Handles expense reports for various members of the field management team.
  • Maintains monthly mileage report in keeping updated within vendor system.
  • Assists with troubleshooting when various vendor systems are down or having issues - specifically Open-Ticket/Open-Invoice coordination.
  • Coordinates/arranges travel arrangements including hotel reservations and expense reporting.
  • Assists with accounts payable and accounts receivable.
  • Schedules and attends training, both internal and external, as needed coordinating with both local Superintendents.
  • Handles all administrative duties, including but not limited to, filing, creating letters/memos, sorting mail, ordering meals for meetings, making reservations, messages, answering phones, schedule meetings and training, etc.
  • Ensures the field office, company housing, and non-O&G processing facilities are maintained in a neat and clean manner.
  • Plans in house and offsite functions.
  • Assists IT department with troubleshooting of office equipment as needed.
  • Completes all required training, sign offs and qualifications for position.
  • Handles other duties as needed.
Requirements
  • Must have a minimum of three (3) years driving experience.
  • Must have and maintain a valid and unexpired Texas Driver License.
  • High school graduate or GED
  • Minimum 1 year in clerical position
  • Ability to speak, read, and write English with proficiency
  • Proficient with Microsoft Office suite
  • Strong technical skills
  • Excellent time management skills
  • Ability to multitask
  • Strong interpersonal skills
  • Ability to operate a forklift, telehandler, and other equipment, and obtain required certifications
  • Self-motivated and capable of working effectively with minimal supervision
  • Excellent verbal and written communication skills
