The Group & Team Sales Coordinator will be responsible for working with the Director of Group Sales and Group Sales Team, Sport Departments, Outreach Office, Operations, Business Development and customers to coordinate group & team outreach efforts and provide general support to all sales operations. Duties include sales operational support, account management and project based work for the achievement of revenue generation, and long-term goals in line with IMG Performance/Academy's vision and values.This includes coordinating sales administrative tasks, retention of existing business and researching opportunities for new business. This individual will work primarily with the outreach, marketing, sports and business development departments.

Position Responsibilities

  • Maintain group & team business reporting (maintain and track group & team revenue, pipelines, contract status, deposit collection etc.)
  • Ensure all group, team, corporate/educational business logistical details are prepared and finalized prior to customer's arrival
  • Facilitate internal communication between Director - Group and Team Sales, Accounting, Sport Directors and customers by streamlining processes and working collectively to reach sales goals
  • Assist in maintaining accurate team and group business pipeline for a minimum of the next 24 months
  • Assist in verifying and tracking team, group, corporate/educational and event contracts from distribution through fulfillment
  • Responsible for the communication of financial status in collaboration with the sales team to the customer, from booking date through reservation
  • Maintain current and develop procedures to ensure group & team business sales and reconciliation processes are successfully achieved
  • Expertise in Sales Software (Microsoft CRM); ability to use software to its maximum capability including but not limited to producing reports, data entry, data integrity and data qualification
  • Complete any projects assigned by the Group & Team Sales Manager and Outreach Director including weekly and monthly reports, data entry, prospect mailings, generation of sales tools, and support other outreach functions
  • Researching opportunities for groups, teams, organizations and events to fill needs at IMG Academy
  • Assisting Account Executive's in sales deck creation and being a liaison with our marketing team.
  • Demonstrate and deliver positive communication and knowledge of IMG Academy and its programs
  • Demonstrate technical selling skills and product knowledge in all areas with the ability to sell to customers as needed
  • Assist in the operational delivery of hosting groups and teams on campus as needed
  • Adhering to all company policies, procedures and business ethic codes
  • Other duties as assigned


Knowledge, Skills and Ability
  • Bachelor's Degree in Sports Management, Business, Marketing or related field or equivalent experience
  • 1+ years of sales operation or administrative support experience
  • Experience in dealing with vendors and operators in the travel industry
  • Excellent customer service and organization
  • Experience with account management
  • Strong decision making and problem-solving skills
  • Proficiency with MS Office and database creation/management
  • Experience with budgets and expense oversight
  • Familiar with legal documents
  • Ability to multi-task in a fast-paced organization
  • Desire to work collaboratively with colleagues
  • Excellent written and verbal communication skills


Preferred Skills
  • Previous hotel sales experience
  • Experience in dealing with international clientele
  • Bilingual


Physical Demands and Work Environment
  • Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.
  • Should be able to handle outdoor temperatures for a reasonable period of time.
  • Must be able to move around campus which includes gym, turf, fields, etc.
  • Ability to work flexible hours to include nights, weekends and holidays is required
