Responsibilities

  • This position provides administrative support for the University Honors Program including greeting and assisting visitors, answering phones and voicemails, and purchasing supplies. This position is responsible for opening and closing the office daily.
  • Responsible for tasks related to the daily functioning of the Honors Program office to include but not limited to opening the office at 8am and closing the office at 5pm, greeting students/visitors, addressing their questions and directing them appropriately, assisting students with advising check-in, answering the office phone, updating outgoing messages, returning voicemails, ensuring supplies are stocked, organizing and managing the break room, submitting facilities requests, managing the lost and found, and assisting with responses to the Honors email.
  • Works collaboratively with HSF and UGS fiscal and administrative staff on the purchasing process and other office budgetary needs. Purchases and receives office supplies, books, food and other materials for Honors staff and faculty. Assists Honors Program staff and faculty in planning and coordinating travel.
  • Collaborates with Honors staff, faculty, and other employees in the Honors, Scholars, and Fellows (HSF) house and assists with the planning, coordination and set-up of Honors and other HSF events, including reserving space, communicating with vendors and attendees as well as room set-up and break-down. Attends staff meetings and other regularly scheduled events, and records and disseminates meeting minutes to participants.
  • Manages the SM Apply online applications and processes awarded funding for Honors scholarships, awards and grants in FS4U.
  • Works closely with UGS HR staff to assist with Honors HR functions as needed. Assists in ensuring offices and equipment are set up for new hires and with the separation process. Other duties as assigned.

Qualifications

A high school diploma or equivalent and four years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

Preferred Qualifications

  • Office experience.
  • Ability to communicate effectively both verbally and in writing.
  • Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Knowledge of applicable computer applications including Microsoft Office suite, and basic computer functions.
  • Ability to establish and maintain effective working relationships internally and externally.
  • Previous experience in a higher education office.
  • Ability to utilize problem solving skills.
  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
  • Knowledge of academic resources available to students.

What is a typical day in this position?
No two days are the same. One day you may be assisting students and fielding calls from prospective students. The next you may be planning travel and identifying and following up on changes that need to be made in order to maximize productivity and safety. This role is exciting for its varied challenges but is also rewarding in terms of supporting students in their academic and personal quests and helping to foster a positive and productive work environment.

What can I expect in the first 60-90 days?
Your first few weeks will be getting up to speed on the Honors Program- our course offerings and curriculum, policies, procedures, and will ask questions and understand expectations for the role. You will also attend all honors staff meetings to deepen understanding of the program and suggest constructive solutions as appropriate. You will receive on-the-job training, but will immediately bring your skills to bear in solving problems, identifying areas that could be improved to enhance the office environment.

Anticipated Salary Range

$36,250, commensurate with education and experience.
