The College of Architecture and Planning invites applications for the Program Coordinator position.

This .80 FTE position is responsible for supporting and carrying out the day-to-day operations of educational programs in the College of Architecture and Planning. This position will play a critical role in the administration and coordination of various activities primarily in the Architecture and Urban and Regional Planning departments, and across the College.

The Program Coordinator position involves a blend of administrative duties, event planning, communications, and general department and Department Chair support to ensure smooth day-to-day operations and successful execution of departmental initiatives.

The Program Coordinator will work with a diverse body of faculty, staff, and students.

Program Coordinator

What you will do:



• Administrative Support


  • Schedule meetings for Department Chairs with faculty (both full and part time), leadership, alumni, outside partners, and students
  • Prepare agendas for meetings
  • Attend meetings and take minutes
  • Support with compiling data (accreditation, special projects throughout the year)
  • Assist with faculty teaching assignment tracking
  • Collect and advertise elective course descriptions each semester
  • Assist Department Chairs and Directors with Teaching Assistant posting, coordination and hiring requests


• Event Planning


  • Support with department events throughout the year (including reserving space, ordering food, event set-up, advertising, surveys, etc.)
  • Provide logistical support for guest speakers (help coordinate schedules and travel arrangements, serve as main point of contact for schedules, access, questions, create swag bags, etc.)
  • In collaboration with Chair, Program Directors and Admissions Coordinator, support New Student Orientation, "Chair Chats" Program Preview Days and other events as needed
  • Fully support Final Reviews at end of each semester
    • Generate Final Review schedule and space
    • With direction from the department Chair, invite and serve as point of contact for external reviewers
    • Coordinate meals
    • Collect bios and photos and produce Final Review packet for reviewers
    • Prepare SWAG bags
Communications

  • Support in writing newsletters/weekly updates to alumni, staff, faculty, and students
  • Support with website updates
  • Help collect and post social media material from educational programs
  • Assist with gathering faculty and student work


• General


  • Assist in managing calendars for Department Chairs
  • Student group support
  • Assist with paperwork and communication for honorariums for guest speakers, etc.
  • Assist with recruiting events (assembling recruiting materials, etc.)
  • Assist with course scheduling (monitor enrollment, faculty teaching loads, etc.)
  • Conduct market and other comparable program research periodically as directed by the Department Chairs.
  • Other duties as assigned


This is a .80 FTE position and reports to the Chair of the Architecture Department and the Chair of the Urban and Regional Planning Department. It is anticipated that the position will spend 50% of the .8 FTE supporting the Architecture Department, 25% supporting the Urban and Regional Planning Department and 25% supporting interdisciplinary and cross-department/program college work and initiatives.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $45,360 - $50,135, prorated for .80 FTE. The position will be eligible for full benefits.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications

Qualifications you already possess (Minimum Qualifications)

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • One (1) year in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field.


Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Two (2) or more years of experience with data management and proficiency using spreadsheets for data compilation and reporting, experience in creating clear, concise, and engaging content for various audiences with proven writing skills. and/or;
  • Experience in higher education or an academic environment, or experience in event planning and coordination.
