Department Summary

The College of Information (COI) is home to the Departments of Information Science, Learning Technologies, and Linguistics, which have the collective mission to generate, integrate, and disseminate knowledge in a learner-centered environment.

The Department of Linguistics offers a collaborative environment for developing innovative curricula that incorporate research on language with database design and management, text mining, computational and quantitative methods in linguistics, and natural language processing. We project a Linguistics Program with international partners in the fields of TESOL and language data archiving, preservation, and dissemination. The international partners include Mexico, India, Pakistan, and China.

Position Overview

This position performs a variety of technical and administrative support duties for the Linguistics department assisting the chairperson, faculty, and staff. Responsibilities for the position include but are not limited to management of the departmental budget and processing and tracking various HR and payroll transactions.

Minimum Qualifications

Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Required License/Registration/Certifications

Job Duties:
  • Oversees and conducts all department finance matters, including timely and accurate account revenue and expenditure transactions, payroll monitoring, and reporting any discrepancies to the Department Chair. Assists faculty and researchers in maintaining their individual discretionary and research accounts as needed. Manages, processes, and tracks/reconciles day-to-day payment authorizations, contracts, and requisitions, including Pcard purchases. Oversees accurate and timely completion of purchase requests and travel authorizations and reimbursements.
  • Assists in all the paperwork related to departmental hiring process which includes student assistants, visiting scholars, staff, and adjunct faculty. Coordinates evaluation and processing of Tuition Benefit Program for graduate students and coordinates graduate assistant assignments. Including being liaison with TGS, managing award data/spreadsheet, ensuring financial agreements are signed and awards have been disbursed.
  • Collects and inputs data for institutional effectiveness and SACS accreditation reporting and works with department chair to ensure the UNT catalog is updated and accurate. Assists with updating departmental website and posting news and events. Provide suggestions for improvement. Responsible for social media content creation for the department in consultation with the College marketing team. Assists with college and department events as needed, including commencement ceremonies and grad preview events.
  • Manage all aspects of course scheduling for Department including addition and cancellation of courses, filing related documents with the registrar and monitor enrollment in classes. Coordinate course scheduling related tasks with faculty, COI advising staff and the Registrar's Office. Work with the department chair regarding adjunct assignments including, if necessary, creating new classes or removing classes that do not make.
  • Oversees the administrative operations of the department including, but not limited to, conducting annual space survey, placing facilities work orders, processing key authorization requests for department access, and picking up and delivering mail. Serves as departments Designated Inventory Coordinator maintaining lists of assets, assisting with checkouts for off campus use and conducting annual physical inventory check. Serves as FIS liaison ensuring syllabi are uploaded and that all instructors are added to the system. Coordinates SPOT evaluations each semester. -
  • Provides administrative support for faculty and staff, including processing administrative forms (e.g., travel, payroll forms, workload reports, time reports, sick leave requests, etc.) for faculty and staff. Responsible for nonroutine correspondence, data compilation and analysis, preparation of reports, forms, meeting notes/minutes. Monitors and answers incoming departmental emails. Assist Chairperson in departmental meetings. Draft agenda, note talking, draft minutes, and distribute meeting materials.
