Job Description

Reporting to the director of strategic initiatives, the administrative coordinator manages the administrative support function of the executive director's office as well as FLSI's leadership team. This position provides support for organizing and enhancing administrative processes, ensuring the smooth execution of FLSI-sponsored activities, and maintaining professional interactions with a wide range of stakeholders. Tasked with the drafting, maintenance, and enforcement of standard operating protocols, especially for front desk operations, the coordinator also oversees documentation compliance, archive management, and efficient customer service. This position also involves planning and coordination of FLSI-sponsored meetings and support for strategic projects as needed. The coordinator is also responsible for the supervision and management of front desk operations, ensuring operational excellence and staff development within Steger Hall.

Required Qualifications

- Coursework or training in related field or equivalent experience.
- Demonstrated competencies with modern computer software, such as workbooks, word processing, data and program management, reporting, and presentation.
- Experience providing administrative support to various levels of leadership in an office environment.
- Demonstrated project coordination and management experience.
- Experience in writing and editing administrative documents.
- Excellent time management skills, and demonstrated ability to work independently and delegation of workload to others.
- Must be highly organized, detailed-oriented and able to multitask in a fast-paced environment.
- Must maintain confidentiality in all matters.
- Must anticipate deadlines and be able to meet strict due dates ahead of schedule if needed.
- Must have strong communication and excellent customer service skills.
- Ability to work independently with little or no supervision and use sound judgment in decision-making to ensure critical information is obtained and shared with appropriate persons.

Preferred Qualifications

- CPS, CAP or other related professional certification.
- Experience providing administrative support in a research and/or academic environment; specifically working with researchers and other faculty.
- Experience with supervision of direct reports.
