The Administrative Coordinator provides complex administrative support to the University's Office for Equal Opportunity and Civil Rights ("EOCR"), including the DHR, Title IX, ADA, and Employment Equity teams. The Administrative Coordinator has broad responsibility in the day-to-day support for the strategic and operational goals and needs of the Office. Reporting directly to and supporting the Associate Vice President for EOCR, the Administrative Coordinator will also provide administrative support to the Assistant Vice President & Title IX Coordinator and other EOCR Directors, as well as support all team members as needs arise. The Administrative Coordinator will be expected to exercise the utmost discretion and integrity in handling confidential, sensitive, and timely information.

Job Description
  • Perform traditional office manager responsibilities for the EOCR office, including responding to inquiries, managing the phone system, maintaining office equipment, maintaining office supplies and materials, anticipating the needs of the office, and serving as the main point of contact for the office with professionalism and awareness of appropriate protocols.
  • Coordinate and participate in departmental planning and development activities to ensure smooth and successful support of business operations.
  • Evaluate effectiveness of business systems and processes. Recommend improvements to enhance efficiency.
  • Coordinate space use and facilities planning.
  • Provide and anticipate the complex administrative and executive level support for the Associate Vice President for EOCR and the Assistant Vice President and Title IX Coordinator. Specific responsibilities include, but are not limited to: maintaining calendars, drafting correspondence, scheduling appointments and meetings, tracking and following up on requests and projects. Be available to assist and support the other EOCR Directors as needed.
  • Serve as Records Coordinator, and the main point of contact for all EOCR records, to maintain currently active, administratively useful, public records; dispose of public records that no longer serve administrative, legal, fiscal, or historical purpose, based on records and retention schedules; and preserve of those records that have historical value or that must be preserved by law or for other reasons.
  • Demonstrate outstanding critical thinking and judgement skills in support of executive priorities with confidentiality and trust.
  • Develop appropriate contingency plans in the event of emergencies and unexpected absences.
  • Assist with coordinating travel and ensuring that all necessary accommodations and lodging are arranged, confirmed, and prepared in advance of travel, for AVP, Title IX Coordinator and Directors. Assist others in EOCR as appropriate.
  • Serve as the office's primary fiscal administrator and work with the Division's Director of Business Operations and the AVP EOCR on fiscal management needs.
  • Develop and prepare financial reports for general appropriations. Undertake general financial reporting to ensure budgetary control and responsible fiscal oversight on an ongoing basis.
  • Prepare and submit required documentation for payments of invoices, travel reimbursement, and other expenses.
  • In addition to the above job responsibilities, other duties may be assigned.
Compensation $24.00- $30.00 per hour.

MINIMUM REQUIREMENTS

Education: High School Diploma
Experience: At least four years experience

Preferred Qualifications:
  • Associates or Bachelor Degree; Relevant experience may be considered in lieu of a degree.
  • Experience working at UVA and/or in a higher education setting.
  • Proficiency in Microsoft Office applications, videoconference, and webinar tools.
  • Experience with Workday, UBI/Qlik Sense.
  • Experience editing and maintaining websites.
  • Knowledge of applicable databases and software programs, including Microsoft Office, Excel, Access, and Power Point and/or Prezi is required.
  • Demonstrated organizational, planning, and management skills and the ability to prioritize multiple projects and priorities is required.
  • Demonstrated experience with and commitment to working effectively with individuals with diverse backgrounds in support of an inclusive and welcoming environment is required.
  • Must possess excellent writing, analytical, and editing skills.
  • Ability to work independently or as part of a team and to provide direct support to leaders is required.
  • Demonstrated success working in a team environment in a professional setting is required.
PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
