The Division of Cardiovascular Medicine in the School of Medicine at the University of Virginia is seeking an Intermediate Administrative Coordinator. The Division of Cardiovascular Medicine is nationally recognized for excellence in clinical care, research, and teaching. Faculty members provide expert, comprehensive care for all forms of cardiovascular disease through UVA Heart and Vascular Center.

This position is eligible for a hybrid work schedule.

Division of Cardiovascular Medicine - University of Virginia School of Medicine

Responsibilities will include but are not limited to these areas:
  • Provides administrative support to a sub-set of Cardiology faculty and the division
  • Support the ongoing administrative functions and operations, including special projects of the division.
  • Manage the physicians scheduling system for a sub-set of specialty providers communicating with Medical Director/Unit lead to review schedule. In-depth understanding of division scheduling guidelines and operational impact of schedule changes. Input schedule, monitor and then audit results.
  • May support a unit head, as part of their composite services. Perform a variety of duties requiring an understanding of organizational operations, organizational procedures, and personnel.
  • Formulate decisions and make recommendations regarding planning, organizing, and scheduling work.
  • Fiscal support, may perform basic budget projections, run fiscal reports, monitor fund balances, and work with account owners to stay within budget.
  • Human resources, may provide process support to search committees and coordinate successful onboarding of new employees. Prepare new hire paperwork and visa documents. Answers general questions from employees and refer human resources questions to the appropriate experts.
  • Adhere to and implement UVA policies of records management including operational, financial and research records
  • Coordinate external speakers - schedule/agenda creations, arrange travel, communicate meetings, facility arrangement (space + A/V), etc.
  • Administer the credentialing (internal and external) and reappointment processes along with the each clinical faculty's Virginia Medical License and DEA. Assist with coordination of VISA submissions/renewals
Anticipated hiring range of $47,000 to $51,000 based on relevant experience.

MINIMUM QUALIFICATIONS:
Education: High School Diploma
Experience: At least four years experience in an administrative position

Demonstrated knowledge of general office practices and procedures

Strong communication and organizational skills

A professional manner

Ability to manage multiple responsibilities while paying attention to detail

PREFERRED QUALIFICATIONS:

Experience in managing physicians schedules using online platforms such as WhenToWork, Qgenda, or New Innovations

Strong computer skills and proficiency in MS Office (Word, Excel and PowerPoint)

Knowledge of University policies and procedures

Experience in using an Electronic Medical Record system (such as EPIC)

PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
