Primary Purpose of Position
The Administrative Support Specialist's principal responsibilities will be to support the Department Chair and the administrative needs of faculty who direct academic programs in the Department, including creating and maintaining reports on course offerings, program participants (conducting focus reports), statistics (e.g. student progression and retention), and/or the effectiveness of our academic programs.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

University Preferred Qualifications:

Graduation from high school and demonstrated knowledge, skills, and abilities gained through three years of specialized office experience or an equivalent combination of education and experience.
Essential Job Duties
  • Support Unit Head in administering Department, including:
  • Scheduling meetings (physical or virtual), producing minutes,.
  • Handling confidential personnel records.
  • Working with budgets.
  • Facilitating purchasing & travel requests for faculty.
Other Work Responsibilities
  • Scheduling, event planning
Departmental Preferred Experience, Skills, Training/Education
  • Experience handling confidential information related to personnel.
  • Experience with p-card, purchasing and travel authorizations, and transactions.
  • Experience working in a team environment as well as highly organized, efficient and able to work well with other departments.
  • Experience working in higher education and with University-related systems (49er Mart, Banner, Zoom, Concur).
  • Experience and knowledge of Microsoft and Google suite.
  • Strong attention to detail and takes ownership to handle complex procedures from beginning to end.
  • Strong oral and written communication skills.
