Key Responsibilities: Graduate Program Administration and Graduate Student Services

Recruitment, admissions, and enrolled student experience: 50%
Respond to inquiries from prospective students and/or faculty
Manage all phases of recruitment, admissions and enrollment cycles for MS, PhD and Poultry Health Certificate programs
Develop and implement admissions procedures, including faculty committee review process, SLATE application system review, Virtual Interview Days, and Recruiting Day.
Provide recruitment and admission data and statistics for assessment and strategic planning purposes
Implement recruitment strategies through communication and marketing initiatives
Advise prospective MS and PhD students on admission and enrollment requirements and procedures in order to provide students with a positive application experience
Liaise with and advise faculty who are interested in enrolling a graduate student
Manage and address student problems and questions regarding admission policies and procedures, graduate school admission application, admission review and decisions and program enrollment
Manage student annual review process

Manage Student Representative Activities & Events: 10%
Support and execute programs for current students including social events, volunteer opportunities, networking lunches, panels and professional development presentations
Facilitate, schedule, and plan regularly scheduled and ad-hoc meetings with OGP and student reps
Facilitate, schedule, and plan periodic professional development sessions
Facilitate, schedule, and plan periodic student town hall meetings
Facilitate, schedule, and plan Spring BBQ
Create and execute all recruitment programs and events

External Recruiting Events
CVM's Research Day/RIDE Summit
Responsible for CVM's role in St. Paul Campus Science in Seconds in conjunction with CFANS and CBS
CVM administrator of central 3MT program
Manage OGP's role in CVM Commencement
Check in meetings with DVM/PhD cohort (semesterly)

Graduate Faculty: 5%
Liaise with faculty inquiring about graduate faculty status, provide accurate information on program policy and procedure related to graduate faculty membership
Manage new and renewing graduate faculty applications, distribute to relevant Program Advisory Committees
Communicate application decisions and next steps to graduate faculty
Facilitate bi-annual graduate faculty meetings; solicit agenda items, create PPTs, manage invitation and Zoom meeting reservations
Organize monthly meetings for graduate program advisory committees; solicit agenda items, keep minutes/records, manage invitation and Zoom meeting reservations
Organize and facilitate monthly OGP and DGS meetings; solicit agenda items, create PPTs, keep minutes/records, manage invitation and Zoom meeting reservations

Graduate Student Fellowships: 5%
Manage fellowship program, understand intent of fellowships, communicate intent and purpose of fellowship awards to graduate faculty and graduate students
Administer fellowship nominations, create online forms, manage submission process
Utilize central scholarships system to award fellowships when required
Liaise with CVM finance group to distribute fellowship awards when appropriate
Convene ad-hoc review committee to select fellowship recipients

Communications: 5%
First point of contact/responsible party for departmental email account
Respond to inquiries from prospective students and/or faculty
Develop, write, collate, produce and distribute weekly OGP newsletter using Salesforce
Provide input on program recruiting materials
Liaise with CVM Communications to promote program and student accomplishments
Maintain OGP-related google groups (CMB & VMED student lists, CMB & VMED grad faculty lists) or assigned DEI groups

MnDRIVE: 20%
Guide all phases of the application and selection process for MnDRIVE Global Food Ventures Graduate Student Development Award Program (in cooperation with CFANS and SPH leadership)
Advise on appropriate professional development activities
Guide MnDRIVE fellows on required cohort activities
Implement program activities including travel for all MnDRIVE
Collect and distribute MnDRIVE year end reports
Oversee MnDRIVE Celebration Lunch

Other: 5%
Take on special projects as needed
Other duties as assigned

Qualifications

Minimum qualifications: BA or BS degree and at least two years of experience in student services or higher education, or a combination of education and relevant work experience to equal at least 6 years.
Is able to cultivate a sense of inclusion and belonging for groups of people. Ensures all differences are welcome. Understands structural and organizational inequities and works to address gaps. Has self-awareness and a commitment to social awareness. Has the ability to present/facilitate discussions amongst learners. Experience/understanding of neurodiversity in the workplace. Experience in higher education, especially student services and admission

Preferred qualifications:
Proficiency in SLATE
Proficiency in Google Suite; especially sheets, docs, and slides
Experience with PeopleSoft
Experience with event and project management
Basic understanding of Tribal and Indigenous educational frameworks, willing to be trained in Tribal State Relations
Experience working with international student populations
Grounds practice and decision making in ethnic studies, critical studies, and data driven research
