About the Position:

The Compliance and Project Coordinator position provides a broad range of administrative support for the Office for Diversity, Equity, and Inclusion (ODEI). The primary purpose of this position is to provide administrative and project support for Title IX, EO and ADA compliance efforts. Under the direction of the Executive Assistant & Office Manager, this position is responsible for providing assistance to walk-in visitors and in-person complaints, monitoring the email accounts and responding appropriately to all inquiries, answering all phone calls and triaging/responding to and/or redirecting all voicemails, maintaining compliance records, referring complainants to other appropriate offices when warranted, and onboarding new employees. The Compliance and Project Coordinator assists ODEI with the coordination of projects and events, including scheduling meetings, finding meeting space, coordinating with unit partners, communicating with participants and attendees, and preparing documents and presentations; and carries out other related duties assigned under the direction of the Vice President for ODEI.

Responsibilities:

Administrative Support
  • Serves as office receptionist; answers and directs phone calls and assists all walk-in visitors, triages phone and in-person complaints, refers complainants to other appropriate offices if warranted;
  • Monitors and manages the ODEI email accounts and RTS system;
  • Provides support to ODEI creating and managing communications plan (email templates, newsletters, schedule reminders and maintain the master calendar);
  • Prepares ODEI Summer Intern communications, meetings, and scheduling;
  • Assists with onboarding new employees and interns;
  • Composes emails/correspondence when requested by supervisor;
  • Schedules meetings at the request of the supervisor and/or VP;
  • Prepares and proofreads documents;
  • Photocopies and scans documents;
  • Provides office updates at monthly ODEI Staff Meetings;
  • Prepares PowerPoint slides and other meeting material as needed;
  • Signs for packages and distributes mail; and
  • Monitors office supplies and equipment.

Project and Event Coordination
  • Assists with the scheduling of meeting rooms utilizing 25-Live and oversees all logistics including IT support requests for Staff Retreats, Professional Development Working groups, national conferences, meetings, and receptions;
  • Creates invites for special events and monitors online rsvp system;
  • Creates name badges for guests;
  • Manages check-in table at special events;
  • Assists with catering orders, final headcounts and menu selections;
  • Serves as vendor contact for departmental orders;
  • Selects departmental supplies and monitors the inventory; and
  • Compiles training materials and information packets for campus-wide tabling events.

Compliance Record-Keeping
  • Maintains Compliance records;
  • Manage electronic file system (Teams and One Drive);
  • Assists faculty and staff with online Title IX training requirements (utilizing MasonLeaps when necessary); and
  • Ensures safeguarding measures are in place when handling sensitive information.

Supervises Work-Study Students
  • Trains and supervises work-study students to provide assistance with front desk operations and special projects.

Required Qualifications:
  • High school diploma or equivalent;
  • Experience performing receptionist duties and support tasks;
  • Experience with Microsoft Suite, database maintenance and data entry;
  • Experience working in an environment of strict confidentiality with sensitive information, materials and/or client interactions;
  • Advanced proficiency in Microsoft suite applications;
  • Skill in the use of multiple types of database applications;
  • Effective communication skills;
  • Skill in providing effective customer service;
  • Ability to plan/coordinate events;
  • Ability to perform work with significant attention to detail;
  • Ability to prioritize work and to handle multiple, sometimes competing, priorities;
  • Ability to and willingness to work collaboratively as a team;
  • Ability to work effectively with diverse groups of people; and
  • Demonstrated ability to exercise professional judgment and discretion when dealing with sensitive matters and ability to maintain confidentiality.

Preferred Qualifications:
  • Bachelor's degree in related field;
  • Experience in an administrative support role;
  • Experience in IT support;
  • Experience in event coordination assistance; and
  • Experience working in a higher education environment.
