JOB DESPCRIPTION:
The Project Coordinator plays a key role in designing, developing, documenting, and executing complex and comprehensive engagement administration workflows to deliver Services Engagements successfully and ensure client satisfaction and engagement/project profitability. This position is responsible for operationalizing complex, customized and comprehensive solutions, projects, and engagements. These activities include supervisory and management responsibilities for project resources: employees, contract employees, associate vendors, etc. such as training, performance feedback and general employee relations. This position may also be responsible for time reporting management, scheduling, travel, status and metrics reporting, communications, deliverable co-ordination, problem resolution, issues management, team onboarding and off-boarding, knowledge capture, document management, asset management, and facilities and/or logistics management. This position is highly collaborative, as Apex Engagements require participation and collaboration from a host of different roles within Apex and the client, and the Project Coordinator must be able to successfully navigate these relational and operational complexities.
SPECIFIC DUTIES
Engagement Administration
  • Develop, document and execute engagement administration work instructions, workflows and operating procedures related to all aspects of the engagement including monitoring and tracking tasks and deliverables, engagement delivery logistics, scheduling, and asset management and/or facilities management
  • Assess, analyze and resolve complex engagement issues, problems and/or challenges.
  • Collaborate with the client, engagement team members and other internal and external stakeholders to facilitate the quality and timeliness of deliverables against contract and client expectations
  • Establish and operationalize an ongoing project status cadence with the client which involves client meetings and status deliverables showcasing overall project heath, issues and risks
  • Oversee time charges, expenses and billings on assigned engagements; time and expense reporting and tracking against budgets
  • Maintain current and accurate engagement work papers including proper storage, tags, labels and file details.
  • Develop and prepare a variety of reports related to the engagement delivery, project status, budget, forecast, contract employees, metrics and KPIs, etc.
  • May be responsible for scheduling, travel, communications, document management, and deliverable coordination
Project Employee Oversight
  • Function as an Apex employer representative on assigned engagements, obtaining performance and conduct related information from client-side stakeholders or other front-line task supervisors and appropriately documenting, communicating, and addressing contract employee performance, conduct and/or problems with the employees.
  • Supervisory responsibilities include onboarding & offboarding, employee training, compliance, corrective action, issues and problem resolution, scheduling, termination, and general employee relations.
  • Responsible for appropriate escalation of complex personnel-related HR, Benefits or Legal issues and ensure issue resolution.
  • Review and approve contract employee timesheets and expenses according to procedures jointly established by Apex and the client.
  • Responsible for complex problem resolution and issues management.
Practice Contributions
  • Contribute to the development of the Apex Engagement Management Practice through a variety of activities enhancing the business such as: People initiatives, Training and Development, Knowledge Management, Artifact creation, Marketing, Sales, Recruiting, Solution Development, Quality Assurance, Risk Analysis and Review, etc.
  • Provide assistance as needed in scoping, documenting and estimating work effort for new sales opportunities
MINMUM REQUIREMENTS
  • 2+ years of experience demonstrating strong project management skills in a professional environment, preferably including resource planning and/or supervisory responsibilities.
  • Strong interpersonal and written professional communication skills
  • Strong organizational and time management skills; a proven commitment to accuracy, quality and timeliness
  • Demonstrated advanced knowledge of Microsoft Outlook, Excel, and PowerPoint
  • Great customer relationship management focus
  • Results orientation with a strong sense of urgency to meet client requirements
  • Previous experience with project tracking tools and general collaboration tools such as Microsoft SharePoint and Teams.
  • Flexible working availability preferred (may work with consultants/clients in all four U.S. time zones)
  • Experience supporting Government contracts/subcontracts preferred
