Job Description

PURPOSE OF POSITION:

Under general supervision with latitude for independent judgement and initiative, assists the Program Director (PD) in coordinating the daily operations and logistics for the residency program while and achieving compliance with ACGME, RRC, and regulatory requirements as it relates to the Graduate Medical Education Residency Program.

DUTIES & RESPONSIBILITIES:
• Credential and re-credentialing of residents
• Prepare and obtain signatures for required paperwork (contracts, annex, Delineation of Competency, Notification of Change in patient Protocol, Appointment Letter, GME data form, DEA Form, etc)
• Review and confirm Upgrade Roster
• Request and maintain current visa documents (EVS confirmation, Benefits confirmation, Participation of each sponsor, and participation of resident in the program)
• Prepare and mail onboarding packages to residents
• Request beepers, keys, lockers, and uniform
• Acknowledge review of original required documentation.
• Ensure all expiring documents are updated and current including BCLS, ACLS NALS, visas, licenses, etc. Prepare and obtain signatures for annual renewal/non-renewal of contracts
• Collect all required documents listed on the Academic Credential Checklist or recredentialed checklist
• Prepare and submit credentialing/re-credentialing package to GME
• Graduation/Termination
• Prepare and obtain signature of diploma/certificate proof
• Arrange scheduled meetings with the Program Director and residents for end-of-training evaluation
• Distribute separation form
• Prepare destination list
• Prepare documents for review at PDs/residents meeting (milestone report, summative evaluation, procedure log, in-training exam, etc.)
• Forward end of training or final milestone to new program as needed
• Assist in arranging and executing the graduation ceremony and celebration.
• Recruitment of Candidates
• Send invitations to qualified candidates
• Serve as liaison between the candidate and the program
• Schedule and host meetings for interview
• Advertise position in the journal if needed
• Send rejection letters
• Attends meetings, participates in various Hospital committees as assigned and attends annual specialty program conference
• Type and Maintain residency committee meeting minutes and develop reports as requested.
• Coordinate inside/outside rotation, which includes applications to the hospital(s), malpractice coverage confirmation, and evaluation forms (send or receive documents for rotators).
• Manage departmental Academic Fund budget and prepare check requests for reimbursements when needed.
• Other duties and special projects as assigned for the programs

Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.
