Job Description

Purpose of Position:

Under the direct supervision of the Coordinating Manager, carries out or performs clerical activities in accordance with the established policies and procedures of the hospital.

Duties and Responsibilities:
  1. Assist the chief of service with all the daily tasks. Assuring that all required training, certificates, applications, for appointments, reappointments, etc. are up to date with all the providers as well as ensuring that all are current and are following all regulations relating to HIPAA, medical record-keeping, clinical requirements, etc. (full and part-time, attending's, physician assistants, and house staffs)
  2. Manage staff (clerical/secretarial).
  3. Attend hospital-wide meetings on behalf of the division.
  4. Attend bi-weekly transformation meetings, as well as monthly ambulatory care QI meetings, for statistical reporting.
  5. Managing and compiling daily, weekly, and monthly data, for the department's meetings, morbidity &mortality grand round conferences, as well as the transformation meetings with administration, for the chief of service's review, and approval for submission.
  6. Manage statistical aspects of urology residency and assist in manuscript preparation for the urology division.
  7. Prepare Excel spreadsheets and Word documents for department presentations, as well as prepare slides for national meetings.
  8. Maintaining and managing the chief of service daily calendar as well as the other providers.
  9. Preparing monthly urology on-call schedules, which include completing, and distributing to all other services, as well as entering it online.
  10. Developing and preparing, with the chief of service's assistance, new templates for all new providers coming on board, as well as providers who need to change their schedules periodically.
  11. Overseeing and processing provider's bi-weekly attendance time sheets, for the approval and signature of the chief of service.
  12. Ordering and maintaining inventory of all surgical supplies/and or instruments, for urology as well as ordering general office supplies online, through Office Max Solutions.
  13. Ensure that the Urology Cysto Suite Clinic has adequate coverage (providers) daily, in order to handle the patient's load. Check-in and check-out patients during lunch breaks and vacations for secretarial staff. Maintain and ensure that the quality and appropriateness of services are provided to all patients and visitors.
  14. Overall general office duties to meet deadlines, and assist in billing as needed, as well as assume other responsibilities and duties as assigned by the chief of service, and/or designee.


Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity.
2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or,
3. A satisfactory equivalent combination of training, education and experience.
