Job Description

Responsibilities:
  • Administrative Assistant to Associate Executive Director,
  • Under direct/indirect supervision, Coordinates and performs administrative support for radiology and other departments that report to AED.
  • Acts as a Super-User for PeopleSoft Finance/Supply Chain, assist employees with training, etc.
  • Super-User for Web Time entry, when implemented, assist employees with timekeeping issues, especially with new system going live.
  • Review and grant final approval for Epic access and coordinate scheduling of Epic training classes for new employees and modification to existing Epic accounts.
  • Coordinates, participates, schedules and supports the Physician Based Collaborative Council.
  • Coordinates, collects and aggregates data for Department, MEC, QAPI, etc., follows up on issues as necessary, submits reports in a timely and accurate fashion.
  • Monitors Critical results, reporting any issues to supervisor. Assist radiologists with clerical support and reporting findings
  • Maintains various departmental manuals.
  • Coordinates requests for imaging studies, subpoenas by courts, law firms, other health care facilities/ professionals and, patients/resident's, etc. following HIPAA, working collaboratively with HIM, as necessary.
  • Coordinates and monitors monthly/quarterly Radiation badges and reports.
  • Works collaboratively with the Physics vendor on various issues.
  • Type various letters & memos including the creation and maintenance of forms, etc.
  • Maintain department stock with necessary supplies using EPR system/WBMason. Create orders and special request for multiple departments via PeopleSoft.
  • Track invoices, payment for Radiology& multiple departments as needed.
  • Assists with the outpatient radiology and Rehabilitation services as necessary
  • Review prior authorization/non-formulary prescription with primary care physician.
  • Process prior authorization non-formulary claims with NY Medicaid for approval
  • Submit all approved and denied authorization and follow-up with physicians and Integra and Pharmscript as required.
  • Assist other departments in special projects as needed.
  • Perform other duties as requested.


Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity.
2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or,
3. A satisfactory equivalent combination of training, education and experience.
